The client is a family owned Maintenance Services company based in Australia, that works on over 650 sites across Sydney. They have been in the industry for 19 years now, providing quality and cost-effective commercial services by cleaning and managing grounds and properties of their customers with a meticulous eye for detail.

Job Summary:

We are looking for an organized and professional Administrative Assistant to handle all communications with the company from a remote position.

Job Description:
  • Answer, screen, and return phone calls in a professional manner.
  • Coordinate calendar management tasks such as scheduling meetings, rescheduling, and confirming meetings.
  • Take care of email management duties and update contact lists when necessary - including writing, proofreading, and sending emails.
  • Post regularly on social media accounts and perform simple website updates, such as FAQs on WordPress sites, blogs, or other platforms.
  • Perform additional administrative tasks such as online research, light bookkeeping, and data entry as requested.
  • Anticipates needs prior to meetings, conferences, etc.
  • Uses a project management tool to keep all projects organized and track progress.
  • Enter the progress of the jobs in the in-house system
  • Report to and work with the Admin Manager and liaise with the Operations team


RequirementsTo be successful in this role, you will need to have:
  • Graduate of any Bachelor s degree preferably in a Communication, Marketing or Administration field.
  • At least 3+ years of relevant experience and well versed in communicating with C-Level Executives inside the organization. Experience in handling cross-functional projects is preferable.
  • Have experience overseeing business from a high level, acting as a liaison to the Executive with involvement/insight on the activities within each department.
  • Naturally organized with hands-on experience with project management tools.
  • Excellent at creating reports that are straightforward and easy to understand.
  • Excellent interpersonal skills; able to get along with a team and work with diverse groups.
  • Active and clear communicator to make sure project stakeholders are always in the loop.
  • Effective communicator to make sure people know what you mean and avoid loss of time through miscommunications.
  • Advanced skill set in time management and task prioritization.
  • Enthusiastic and proactive approach with strong attention to detail.
  • Ability to complete a high volume of tasks independently with little or no supervision.
