Position Overview:

The Chief of Staff will act as a strategic advisor to the CEO and senior management team, overseeing organizational development, performance management, and ensuring compliance with industry best practices. This role is pivotal in enhancing the efficiency and effectiveness of the organization through strategic planning, policy development, and managing key initiatives. The Chief of Staff will also be responsible for fostering a culture of diversity, equity, and inclusion, and ensuring seamless communication between the CEO and various stakeholders.

Key Responsibilities:

Strategic Planning and Implementation:

  • Participate with the CEO and senior management team in strategic planning, policy development, and decision-making.
  • Ensure timely and effective completion of projects and initiatives of the CEO.
  • Research and recommend new and revised policies and strategies.
  • Create and maintain systems and processes to streamline operations.
  • Establish standards and procedures for hiring and managing office staff and personnel for the CEO.

Performance Management:

  • Oversee the performance management system to ensure it effectively measures and enhances employee performance.
  • Develop performance metrics and KPIs aligned with business objectives.
  • Train managers and employees on performance management processes, including goal setting, feedback, and appraisal.
  • Monitor and analyze performance data to identify trends and recommend improvements.

Operational Efficiency:

  • Maintain accurate confidential files and data records.
  • Collaborate with top-tier executives to prioritize strategic business moves.
  • Guide department heads with expert advice to enhance overall team efficiency.
  • Plan and coordinate meetings effectively, keeping them focused and goal-oriented.
  • Set key performance indicators to measure and improve team performance.
  • Provide hands-on support to transform ideas into reality and monitor their progress.
  • Act on behalf of the CEO to answer inquiries and address core issues within business processes.
  • Present detailed company operations analysis to the CEO and other senior leaders.
  • Evaluate risk factors when making critical business decisions.
  • Complete special projects and initiatives with skillful oversight and support.

Organizational Development:

  • Develop and implement organizational development strategies aligned with the company's vision and goals.
  • Conduct organizational assessments to identify areas for improvement and opportunities for growth.
  • Design and facilitate interventions such as team building, leadership development, and culture change initiatives.
  • Collaborate with senior management to define and implement change management processes.

Compliance and Best Practices:

  • Stay current with industry trends and best practices in organizational development and performance management.
  • Ensure all initiatives comply with relevant laws and regulations.
  • Promote a culture of diversity, equity, and inclusion within the organization.

Executive Support:

  • Act as a strategic advisor to the CEO and senior management team.
  • Represent the CEO in meetings, via email, and phone calls with internal and external stakeholders.
  • Manage the CEO's calendar and prioritize their time and schedule.
  • Draft letters, emails, reports, and other correspondence on behalf of the CEO.
  • Support the CEO in meetings by taking notes and ensuring the completion of action items.
  • Serve as the liaison between the CEO and other executives, clients, and stakeholders to ensure consistent communication and involvement in decision-making at appropriate times.

Communication and Collaboration:

  • Serve as a liaison with staff, executives, senior leaders, and the CEO regarding company climate, employee well-being, project updates, proposals, and planning.
  • Assist the human resources department with new hires, including documentation and onboarding, and collaborate to address and resolve all employee concerns.
  • Oversee daily operations in collaboration with senior managers and department leaders.
  • Develop and build relationships with all employees for increased efficiency and responsiveness of existing operations.
  • Define new operational strategies by working with the CEO and other executives on special projects.
  • Serve as a subject-matter expert, handling inquiries, developing action plans, and assisting with the preparation and dissemination of communications.

Qualifications:

  • Bachelor's degree in Business Administration, Management, or a related field; Master's degree preferred.
  • Proven experience in a senior management role, preferably as a Chief of Staff or in a similar capacity.
  • Strong organizational development and performance management skills.
  • Excellent strategic planning, policy development, and decision-making abilities.
  • Outstanding communication and interpersonal skills.
  • Demonstrated ability to handle confidential information with discretion.
  • Proven ability to manage multiple projects and initiatives simultaneously.
  • Strong problem-solving and analytical skills.
  • Commitment to promoting a culture of diversity, equity, and inclusion.
