Monitors all medical stock items with assurance that re-order point process is carried-out on timely manner, items reaching safety stock level are regularly expedited and alternate products/brands are professionally evaluated/accepted in coordination with Purchasing Services and the end-user to avoid critical stock situation.


Essential Responsibilities and Duties:

  • Reviews and updates replenishment details by verifying the Average Monthly Usage (AMU), stock on hand (system/physical) and product expiry dates to ensure that re-ordering process is carried out effectively and efficiently.
  • Reviews Safety Stock and Zero Stock Reports regularly to ensure that all activities on the listed items are timely monitored and action are appropriately taken. Shares information with Manager, Supplies Planning for critical stocks.
  • Reviews the Excess Stock/Slow/Non-Moving ltems/KFSH Short Dated and Item Consumption Reports on a regular basis and take appropriate measures i.e. update forecasting information, report excess/short-dated items to the Manager, Supplies Planning for necessary action.
  • Coordinates with users and suppliers for the availability of alternate brand/source and ensure that the Organization Item Window is updated clearly.
  • Follows-up with concerned departments to accepUrejecU medical items or resolve issues/problems arising from Unit of Measure (UOM), Brand change, quantity, expiration date, etc.
  • Coordinates with other organization to borrow critical item and initiates/completes necessary documents to borrow or lend items from/to other institutions under the Sharing Program and reports the same to the Manager, Supplies Planning.
  • Initiates necessary change order/revises delivery schedule requests to meet the requirements according to the increase/decrease in item's usage.
  • Prepares the necessary documents i.e. speed letters, stock item status information memo, and maintains copy of all correspondence in the item file.
  • Follows-up on the issues reported to Supplier/Sharing Program until the excess/expiry situation is normal.
  • Participates in physical inventory of stocks as required.

Education:

Bachelor's Degree in Hospital Administration, or other related discipline is required.

Experience Required:

Grade 8:

One (1) year of relatedexperience is required.

Grade 09:

Three (3) years of related experience, includingtwo (2) years of (Grade 08) experience is required.
