HR & Admin Specialist - Saudi National Only

HR & Admin Responsibilities:

  • Knowledge about HR procedures and existing KSA labor law
  • Devise a database for employee record tracking such as employee list, document expiry, leave record, salaries, etc.
  • Responsible for correspondence work related to online portal / company registration, external and internal agreements, etc. including internal HR forms and letters
  • Prepare monthly attendance and overtime records and recording the vacations and all employee's salary variables and handed over to finance.
  • Answer incoming calls, take messages and redirect to concerned department (_if required_)
  • Provide administrative support and coordinate to company departments
  • Maintain office stationeries and pantry items
  • Submit reports and prepare proposals and presentations as needed
  • Manage agendas, travel plans and appointments, meetings, and the meeting room schedule to prevent duplicate bookings.
  • Maintaining general office files, including job files, vendor files, and other files related to the company's operations and finance department
  • Overseeing the maintenance of office facilities, and equipment, and follow up of the inventory with different departments
  • Any other duties assigned from his/her direct manager

Finance Assistant Responsibilities:

  • Work on ERP system including but not limited to:
  • Issuing commercial quotation and invoices to clients[A1]
  • Sending PO's to suppliers (requirement from design, printing, sales, AV and production dept.)
  • General Assistant
  • Prepare vouchers (cash / receipt) for all cash release and payments received
  • Follow up with clients with finance regarding the collection and due payments agenda
  • Collect expense bills from different departments and handed over to finance specialist and prepare analysis expense form with detailed information[A2]
  • Create and update databases and records for financial information, and other data

Skills:

  • This opportunity for Saudi Nationality Only
  • Bachelor's degree in business, administration, or any related field.
  • Minimum 24 years of experience in office administration and HR field, prior experience in events & Exhibition field is highly recommended.
  • Excellent verbal and written English skills is a must
  • Trustworthy & Comfortable handling confidential information.
  • Multitasking and timemanagement skills, with the ability to prioritize tasks & organizing.
  • Excellent communication skills in handling different situations

Education:

  • Bachelor's (preferred)

Experience:

  • HR & admin: 2 years (preferred)

Language:

  • English Fluency (preferred)
