Core Purpose:

To provide HCM support to all staff on employee matters pension, medical aid, death and disability, terminations, etc. and to perform general HCM related administrative duties.

Key Performance Areas:

  • On boarding process – Load all new employees in SAGE and prepare take on documents and send to Finance before payroll closure date.
  • Off boarding process - ensuring that final payment is calculated correctly, employee benefits are cancelled and withdrawn on time and Payroll is informed of all terminations before payroll closure date. Prepare leave recons for all terminated employees. Certificate of service and UIF documents are prepared and issued to employee.
  • Employee benefits administration - Administer all new applications, amendments/changes, withdrawals and claims from medical aid, pension and death and disability insurance as well as any other employee benefit.
  • Leave administration – Approve leave in ESS and ensure that leave policy is applied and assist with preparation of leave provision reports.
  • Work permit administration - assisting foreign employees with work permit applications, renewals, confirmations and terminations and ensuring that all foreign employees have a valid work permit or business visa while employed and are not in breach of the Immigration Act.
  • Capture and maintain employee information on SAGE i.e. qualifications, professional registrations, work permit expiry dates, contract expiry dates, etc. and filing thereof of all employee documents.
  • Contract Administration - Timely preparation of contract amendments and extensions.
  • Invoice administrations – manage HCM related invoices for processing by having these approved and signed by the HCM Executive and submitted to Finance for payment before Finance cut off dates.
  • General HCM Administration – creating electronic files for all new employees and maintenance thereof, data capturing, reports etc.
  • Assistance with ad hoc HCM Projects.

Job Requirements:

Qualification:

  • National Diploma / Degree in Human Resource Management

Experience:

  • Minimum 2 years relevant HCM/HR experience in an administration role
  • Working experience with using SAGE Payroll softwarerequired
  • Working experience with using WEB ESS required
