Reporting to the Senior Legal Adviser, the Legal Securities Officer will take responsibility for the safekeeping of group security documents/contracts/agreements and managing the database.

The Legal Securities Officer will:

  • Check all documents including supporting documents from business units for correctness using a checklist within one working day of receipt.
  • Update computer database to ensure that the correct documents are scanned and stored in the system.
  • Generate progress and status update reports daily to business units randomly evaluate data base system banking and Metrofile systems for errors.
  • Ensure safe keeping of records and generate monthly records management reports.
  • Control and maintain access register to the strong room.
  • Liaise with internal and external stakeholders and ensure adherence to SLA's.
  • Evaluate requests for release of documents and recommend for approval or reject release.
  • Manage human capital through effective performance management and employee development and empowerment related to direct subordinates.

The following minimum requirements should be met to be considered:
Qualifications:

  • Matric preferably with Mathematics/Mathematical Literacy or Accounting.
  • A post-matric qualification at NQF level 5 in Office Management/Administration will serve as an added advantage.

Experience:

  • 5 years' experience in office management and data capturing.
  • Minimum of 5 years supervisory experience.
  • 5 years' knowledge and experience in dealing with securities documents.
  • Minimum of 5 years' experience of the document management systems, of which 3 years should be functional knowledge of the Metrofile Document Management System or any other Document Management System.

Requisite Functional Competencies:

  • Computer literacy in Ms Office package.
  • Knowledge and experience in financial planning and forecasting.
  • Knowledge and understanding of Public Financial Management Act.
  • Knowledge of corporate governance principles.
  • Good knowledge and understanding of securities.
  • Good understanding of commercial legal environment plus a good understanding of property management and law, contract law, commercial law and the debt collection process.
  • Knowledge of relevant legislation, e.g. Banks Act, FAIS, FICA, Insolvency Act, Companies Act and NCA.
