Job Description

  • Assist in the planning and execution of events, including conferences, exhibitions, and trade shows.
  • Help with the scheduling and coordination of event timelines and logistics.
  • Communicate with vendors, venues, and suppliers to coordinate event logistics.
  • Assist in negotiating contracts and managing vendor relationships.
  • Support the marketing team in creating promotional materials and campaigns for upcoming events.
  • Help manage social media accounts and promote events through various channels.
  • Assist with the registration process, including managing attendee databases and responding to inquiries.
  • Prepare and distribute badges, tickets, and other registration materials.
  • Provide on-site support during events, including setting up booths, managing registration desks, and assisting attendees.
  • Handle troubleshooting and resolve any issues that arise during the event.
  • Help with the creation and management of event content, including presentations, programs, and speaker materials.
  • Assist speakers and presenters with their needs and ensure they have the necessary resources.
  • Perform various administrative tasks such as data entry, filing, and managing communication.
  • Assist with the preparation of event reports and post-event evaluations.
  • Engage with attendees, sponsors, and exhibitors to build and maintain relationships.
  • Collect feedback and suggestions from participants to improve future events.
  • Assist in the setup and breakdown of event spaces, including arranging furniture, setting up equipment, and ensuring everything is in place.
  • Manage the inventory of event supplies and materials.
  • Help track event budgets and expenses, ensuring costs are within the allocated budget.
  • Assist in the preparation of financial reports related to event expenditures.

Qualifications

  • Matriculation
  • Studied/studying towards Events Management and/or PR diploma/degree
  • Communication Skills: Strong verbal and written communication skills to interact with clients, vendors, and attendees.
  • Organizational Skills: Excellent organizational abilities to manage multiple tasks and deadlines.
  • Attention to Detail: Keen attention to detail to ensure all aspects of the event are well-coordinated.
  • Team Player: Ability to work effectively as part of a team and support various departments.
  • Adaptability: Flexibility to adapt to changing circumstances and handle unexpected challenges.
  • Customer Service: Strong customer service skills to assist attendees and address their needs.
  • Tech Savvy: Proficiency with event management software, social media platforms, and office applications.
  • Problem-Solving Skills: Ability to troubleshoot issues and provide solutions quickly.
