• Provides day-to-day support including schedule, opening and sorting mail, filing and document processing.
• Prepares different types of reports.
• Researches requests for information and communicates findings.
• Maintains up-to-date Applied workflow documentation and ensures workflows are adhered.
• Complies with all internal policies and procedures.
• Ensures that all requirements are met when handling responsibilities and tasks.
• Make travel, appointment, and meeting arrangements.
• Act as local contact for phone inquiries not handled elsewhere.
• Coordinate town halls, content, logistics. Set up Webex conferences for CEO and other colleagues and other initiatives.
• Coordinate senior leadership visits, carrier visits/events and client functions.
• Coordinate and lead all colleague employee morale events (retirement, holiday, etc.).
• Engagement with senior management to ensure smooth running of office.
• Co-ordinate meeting room bookings and catering requirements.
• Maintaining the condition of the CEO office and arranging for necessary repairs.
• Organizing and typing the agenda and taking minutes.
• Other duties as assigned or required.
• A minimum of 3 years of personal assistant experience.
• Bachelor degree.
• Strong computer proficiency including Excel, Word, Outlook required.
• Strong Data Entry into Applied system and web-based websites.
• Excellent organizational and time-management skills to handle multiple tasks and prioritize effectively.
• Detail oriented to ensure accuracy.
• Ability to multi-task and work in a fast-paced environment.
• Possess self-discipline, self-motivation, and ability to meet assigned objectives.
• Ability to analyze data and interpret appropriate action.
• Excellent computer skills and the ability to navigate through multiple systems without assistance.
