Role Overview
We're looking for a dynamic and creative Events Specialist to be responsible for planning, coordinating, and executing a wide range of events to support Calo's business objectives in Saudi.

Main Responsibilities

Event Planning and Coordination

  1. Plan and organize a variety of offline events, including but not limited to product launches, sports events, entertainment events, health fairs, workshops, and community events.
  2. Develop detailed event plans, including budgets, timelines, and logistics with the ability to execute these plans effectively and ensure smooth event execution.

Stakeholders Management

  1. Identify, negotiate with, and manage relationships with vendors, venues, and other event partners.
  2. Coordinating with internal stakeholders, including operations, supply chain, finance, design team, and marketing.

Marketing and Promotion

  1. Plan and create events booths with external agencies to deliver suitable promotional booth at events under Calo's guidelines.
  2. Create marketing materials for events, including flyers, posters, activations and needed merch.

Logistics Management

  1. Oversee all logistical aspects of events, including venue setup, audio-visual equipment, catering, and access pass.
  2. Ensure all necessary permits and insurance are obtained for events.

Food Safety and Quality

  1. Ensure meals and snacks are delivered and placed in the events according to food safety and quality procedures.

Audience Engagement

  1. Develop and execute activities that engage and educate attendees about our healthy meal plans.

Post-Event Evaluation

  1. Collect and analyze attendees and Calo Team feedback to improve future events.
  2. Conduct post-event evaluations to assess the success of events and identify areas of improvement.
  3. Prepare detailed reports on event outcomes, including attendance, engagement, and overall effectiveness.

Ideal Candidate

Qualifications

  1. Bachelor's degree in Event Management, Marketing, Communications, or a related field.
  2. 2+ years of proven experience in event planning, coordination, and execution.
  3. Strong project management skills, including the ability to multitask and meet deadlines.
  4. Exceptional communication and writing skills in both English and Arabic.

  1. Detail-oriented with a strong focus on quality and accuracy.
  2. Ability to adapt to changing circumstances and work well under pressure. You remain calm and collected under pressure despite tight deadlines and conflicting priorities.
  3. Creative thinking and problem-solving abilities.
  4. Flexibility to work evenings, weekends, and travel as required by events, with the ability to work ad-hoc as needed to support event schedules and changes.
  5. Strong communicator.
  6. Excellent interpersonal skills.
  7. Collaborative team player who also can work independently and take initiative.
  8. Eager to learn.
  9. Friendly and pleasant personality that is able to lead with empathy and patience.
