Job Description

Tender Specialist - Events Industry
Location: Based in Saudi Arabia, Riyadh

We Are Aspire Middle East is hiring a Tender Specialist based in Riyadh, Saudi Arabia, to support high-profile events and exhibitions. Your expertise in delivering high-quality, compliant tender submissions will be crucial in securing major experiential and cultural projects across the Kingdom.

Key Responsibilities:
  1. Review RFPs and tender requirements to extract relevant information and contribute to content planning.
  2. Work closely with the Head of Content to ensure alignment with content strategies and messaging.
  3. Conduct research across the internet and social media to gather detailed information about tender activities and relevant data for content development.
  4. Prepare a tender information summary highlighting design specifications and key pricing elements, coordinating as needed.
  5. Develop a professional technical proposal structure, including content formulation, project timeline, and team structure, ensuring all tender requirements are met.
  6. Contribute creative ideas to enhance proposal storytelling aligned with project objectives.
  7. Coordinate with design and marketing teams to integrate visual and written content seamlessly.
  8. Follow up with relevant departments to gather necessary requirements.
  9. Write, revise, proofread, and edit presentations, letters, and other materials to ensure clarity, professionalism, and accuracy.
  10. Participate in brainstorming sessions for event narratives and visitor experience content.
  11. Revise content based on internal feedback to meet quality standards.
  12. Ensure timely completion of content sections according to schedules and deadlines.
  13. Collaborate with project management and operations teams to gather accurate content inputs.
  14. Prepare draft content for ongoing project presentations under supervision.
  15. Maintain the content library, templates, and internal databases.
Qualifications & Requirements:
  1. Bachelor's degree in Business Administration, Marketing, Communications, or related field.
  2. At least 4 years of experience in tender writing or proposal coordination, preferably in the creative or content industry.
  3. Excellent command of English, with strong writing, editing, and proofreading skills.
  4. Proficiency in Microsoft Office, especially PowerPoint.
  5. Strong analytical and organizational skills, capable of working under pressure.
  6. Design experience is a plus.
