Main Purpose: As a Procurement Specialist, you assist in the procurement of low to high complexity project packages and support the Procurement Supervisor and Supply Chain Manager on the execution of the procurement for projects, working effectively with internal departments, external stakeholders, and other members of the Procurement team. While carrying out procurement activities, the Procurement Specialist provides commercial leadership in project teams, developing and executing creative strategies to ensure work is conducted with rigorous professional standards in full compliance with Client's governance.

Responsibilities:

  1. Reports to and receives operational direction from the Procurement Supervisor.
  2. Maintains working relationships with internal stakeholders to perform assigned duties.
  3. Maintains working relationships with bidders and suppliers involved with the performance of assigned tasks.
  4. Perform required internal communications with different departments inside the company.
  5. Perform required external communications with Contractors, Consultants, Suppliers, and all Vendors of external organizations.
  6. Research and identify prospective suppliers.
  7. Liaise with internal customers and maintain strong supplier relations.
  8. Evaluate products/services and suppliers according to key business criteria.
  9. Oversee requisition and purchase creation activities, including searching catalogues for goods/services, collecting quotes, and selecting suppliers.
  10. Prepare proposals, request quotes, and negotiate purchase terms and conditions.
  11. Ensure the highest quality, best prices, and on-time delivery for the goods/services purchased and meet specific technical specifications.
  12. Monitor and optimize the tactical sourcing process, checking for alternative suppliers, and identifying cost-saving opportunities.
  13. Contact suppliers to schedule or expedite deliveries and resolve shortages, missed or late deliveries, and other problems.
  14. Compare suppliers' bills with bids and purchase orders to verify accuracy.
  15. Respond to customer and supplier inquiries about order status, changes, or cancellations.
  16. Back-charge vendors & suppliers for defective/short/non-supply of materials.
  17. Follow up with Finance for vendor payments.
  18. Ensure on-time submission of customs clearance papers to the logistic team.
  19. Monitor supplier performance and resolve issues and concerns.
  20. Utilize data analysis tools to evaluate supplier performance and support evidence-based decision-making.
  21. Prepare reports and maintain procurement records.
  22. Ensure purchasing activities comply with local & international legal, governmental, and company policies and regulatory standards.
  23. Ensure complete adherence of self and team to company policies and procedures.
  24. Perform other related duties as assigned.
