On behalf our client we are looking for Executive Secretary

Job summary :

The Executive Secretary will provide highlevel administrative support to senior executives ensuring the smooth operation of executive offices. This role involves managing schedules handling correspondence preparing reports conducting research and coordinating meetings. The Executive Secretary must maintain a high level of confidentiality possess excellent organizational and communication skills and be capable of multitasking in a fastpaced environment.

Responsibilities :
  • Prepare and edit correspondence reports presentations and other documents.
  • Handle document filing and retrieval ensuring organized and accessible records.
  • Screen and prioritize incoming calls emails and other communications.
  • Draft responses and communicate on behalf of the executive when necessary.
  • Coordinate internal and external communication ensuring timely and accurate dissemination of information.
  • Organize and coordinate meetings conferences and events including booking venues preparing agendas and compiling meeting materials.
  • Take minutes during meetings distribute them promptly and follow up on action items.
  • Arrange travel itineraries including booking flights accommodations and transportation.
  • Prepare and submit travel expense reports.
  • Conduct research and compile data to support executive decisionmaking.
  • Prepare detailed reports summaries and presentations based on research and analysis.
  • Oversee office operations and procedures ensuring efficient workflow.
  • Manage office supplies and equipment handling procurement and inventory management.
  • Coordinate with other administrative staff to ensure consistency and efficiency.
  • Handle sensitive information with utmost confidentiality and discretion.
  • Uphold a high standard of professionalism in all interactions and tasks.



Requirements
  • Bachelor s degree in Business Administration Management or a related field is preferred.
  • Exceptional organizational and timemanagement skills.
  • Excellent written and verbal communication abilities.
  • Proficiency in Microsoft Office Suite and other relevant software.
  • Strong attention to detail and problemsolving skills.
  • Ability to work independently and as part of a team
