Assistant Information Manager

JASARA PMC is seeking an Assistant Information Manager to help support our mission of delivering exceptional project management services within the civil engineering sector. In this role, you will assist in overseeing and managing document control processes and systems to ensure that all project-related documentation is accurate, organized, and readily accessible. This position is vital to ensuring that our project teams have the information they need to execute their tasks effectively while maintaining compliance with standards and regulations.
**Responsibilities**:
- Assist in the implementation and management of document control systems and processes across various projects.
- Support the organization and maintenance of project documentation, ensuring it is accurate and up-to-date.
- Collaborate with project teams to ensure consistent adherence to document control procedures.
- Facilitate the timely distribution of project documents to relevant stakeholders and provide training on document control practices.
- Conduct regular audits and reviews of project documentation for compliance and integrity.
- Help compile and maintain document control reports and metrics to support project management activities.
- Act as a point of contact for project teams and stakeholders regarding document management inquiries.
**Requirements**:
- Bachelor's degree in Civil Engineering, Information Management, or a related field.
- Previous experience in document control or information management is preferred.
- Proficiency with document management software and electronic filing systems.
- 7 or more years’ experience doing document control
- 5 or more years’ experience with Aconex
- 2 or more years’ experience as an Aconex Org Administrator
- Demonstrated experience creating or contributing to document control or other procedure documents and processes
- Demonstrated problem solving skills
- Strong communication skills with demonstrated experience either leading teams, acting as a lead/mentor, experience as a trainer, or other demonstrated strengths in communication skills
- Experience with SharePoint (administration, document libraries, and list management) is very desirable
- Experience with Unifier is also very desirable
- Experience with other document control systems is helpful
- Strong organizational skills with a keen attention to detail.
- Excellent communication and interpersonal skills to work collaboratively with project teams.
- Ability to manage multiple tasks and meet deadlines in a dynamic environment.
- Self-motivated, proactive, and able to work independently as well as part of a team.
