Document Controller

**DUTIES **AND** **RESPONSIBILITIES**
- Plan, control and maintain documents generated for the project, in line with the requirements of the international standards and practices of document management system;
- Operate with significant independence as the focal point contact for all project document control requirements;
- Administer and control required project documentation within the selected document management system of the Company according to Standard Operating Procedures (SOP);
- Actively participate in the development of strategies for continuous improvement of project document control and document management system;
- Ensure all project documentation records are correctly filed and stored as per project archive procedures;
- Ensure all project documentation referencing is consistent with internal and external procedures and requirements;
- Effectively communicate at all times with Integrated, Technical, Operations and other personnel (as required) for any amendments or updates, including distribution of documents to appropriate stakeholders;
- Coordination of activities related to document control, including auditing and distribution of controlled documents, maintaining electronic records & directories, tracking register and reporting document review progress;
- Work independently to facilitate work group activities in the department;
- Manage the archiving activities for document control and validation of document files;
- Review and proofread documents for consistency in document formats and systems of documentation for document control department;
- Verify and issue document numbers for Engineering & Design department;
- Use department databases to manage, track and control issued documents;
- Assign document tracking numbers;
- Effectively following policies to provide support for the quality systems during corporate audits and actively participating in department activities;
- Adhere to and enforcing company policies and procedures related to document control & management system;
- Perform & take part in the audits of document control procedures in order to confirm compliance with approved control procedures in line with company quality management system.
**QUALIFICATIONS AND WORK EXPERIENCE REQUIREMENTS**
- Minimum of 2 years diploma or higher qualification from any Industrial Training Institution; reputable college or university;
- Minimum of 5 years proven work experience in design firms.
**PHYSICAL AND SKILL REQUIREMENTS**
- Must be in good health, physically fit & active;
- Must have a well-developed administration and documentation skills;
- Must have excellent computer proficiency (MS Office - Word, Excel, PowerPoint and Outlook);
- Must have positive attitude, very dynamic, highly motivated and hardworking;
- Must be flexible and have ability to work under pressure to meet the demands of projects;
- Ability to work independently and carry out assignments to completion within parameters of instructions given, prescribed routines, and standard accepted practices;
- Ability to safely and successfully perform the essential job functions consistent with the ADA, FMLA and other federal, state and local standards, including qualitative and quantitative productivity standards;
- Must be able to develop and promote relationships with key personnel and retain good relationships with clients and contractors/subcontractors;
- Must have the ability to work in a multi-cultural environment at all levels of the organization.
