Receptionist - SPARK Job Summary:
Receptionists are the gatekeepers of an organization, creating a positive first impression for visitors and acting as a central hub for communication, handling administrative tasks, providing customer service, and ensuring the smooth operation of the office. This role reports into the Contracts and Admin Manager Saudi Arabia & Bahrain.
In This Role, Your Responsibilities Will Be:
- Greet and welcome visitors warmly, ensuring they are provided with instructions on emergency evacuation procedures.
- Announce visitor arrivals promptly and handle them in an efficient, courteous, and professional manner, maintaining a positive impression of the company.
- Prepare visitor badges and maintain accurate visitor records for security purposes.
- Schedule meetings by coordinating appropriate times, booking meeting rooms, and arranging refreshments as required.
- Answer incoming calls and direct them to the appropriate individuals or departments.
- Handle the dispatching and processing of shipment requests efficiently.
- Provide internet access to visitors as needed.
- Support the Administration Department in issuing visit visas when required.
- Keep the reception area clean, organized, and presentable.
- Order office supplies to ensure smooth operations.
- Assist in event coordination by providing necessary bookings, reservations, and arrangements.
- Facilitate external meeting space reservations for employees, such as in hotels.
- Provide building and facility tours for new joiners as necessary.
- Coordinate office space allocation with managers for newcomers.
- Issue vehicle stickers to eligible employees.
- Manage car bookings and transportation arrangements for employees and visitors as vital.
