As a skilled Receptionist, you will be responsible for providing exceptional customer service and ensuring the smooth operation of our front office.

Key Accountabilities:

  1. Greet visitors and accept deliveries in a professional and courteous manner.
  2. Handle incoming calls and operate the switchboard with efficiency and accuracy.
  3. Maintain accurate and up-to-date office directories.
  4. Provide visitors with a warm welcome and direct them to the relevant personnel or facilities.
  5. Control and issue visitor badges, ensuring a secure and organized environment.
  6. Implement company policies regarding office transport use, safety, and safety inductions for visitors.
  7. Notify company personnel of visitor arrival in a timely and efficient manner.
  8. Receive, sort, and distribute daily mail and deliveries with attention to detail.
  9. Order front office supplies and maintain an inventory of stock to ensure a well-stocked and organized workspace.
  10. Update calendars and schedule bookings of company public spaces with precision and accuracy.
  11. Organize and coordinate catering for public activities as required.
  12. Support continuity among work teams by documenting and communicating actions effectively.
  13. Support business groups with company-wide announcements to be notified by reception.
  14. Develop an effective filing system for related key documents.
  15. Collate and distribute monthly reports with attention to detail and accuracy.
  16. Perform basic administrative duties with a high level of proficiency.
  17. Monitor reception tidiness and order, maintaining a clean and organized workspace.

Qualifications

PERSON SPECIFICATION

Qualifications

  1. Minimum secondary school certificate.
  2. Any additional certification in Office Management is a plus.
