Job Requirements

We are seeking a highly skilled Assistant Manager - Office Administration to join our team at Saudi Petroleum Services Polytechnic. As an Assistant Manager - Office Administration, you will be responsible for overseeing administrative functions, ensuring seamless day-to-day operations, and contributing to the company's overall success.

Key Responsibilities

  • Administrative Oversight:
    • Supervise and coordinate administrative staff, ensuring efficient use of resources and effective task allocation.
    • Develop and implement administrative policies and procedures, ensuring compliance with regulatory requirements.
    • Manage office budgets, ensuring optimal resource allocation and minimizing waste.
  • Scheduling and Calendar Management:
    • Coordinate and schedule meetings, appointments, and events, ensuring minimal conflicts and maximum productivity.
    • Organize and maintain accurate calendars, ensuring deadlines are met and tasks are prioritized effectively.
    • Prepare agendas, take minutes, and distribute meeting materials as required.
  • Client Relations and Communication:
    • Act as the primary point of contact for clients, responding promptly to their inquiries and resolving issues efficiently.
    • Assist in preparing client reports, proposals, and presentations, ensuring high-quality content and presentation.
    • Develop and maintain relationships with clients, vendors, and partners, fostering collaborative partnerships.
  • Project Coordination Support:
    • Assist in project planning, execution, and monitoring, ensuring timely completion and quality outcomes.
    • Coordinate project-related tasks, such as timelines, deliverables, and communication between teams.
    • Develop and implement process improvements, enhancing efficiency and productivity.
  • Financial Administration:
    • Support financial functions, including invoicing, payment tracking, and financial record-keeping.
    • Assist in budgeting, forecasting, and financial reporting, providing insights and recommendations for improvement.
  • General Office Support:
    • Perform general administrative tasks, such as data entry, mailings, and filing.
    • Provide technical support for office software and equipment, ensuring minimal downtime and optimal performance.

Requirements

  • Leadership Skills: Proven ability to lead and motivate administrative staff, ensuring effective task allocation and efficient use of resources.
  • Organizational Skills: Strong ability to prioritize tasks, manage multiple projects, and meet deadlines.
  • Communication Skills: Excellent verbal and written communication skills to interact effectively with clients, staff, and external partners.
  • Technical Skills: Proficient in Microsoft Office, Google Suite, and other relevant software applications, with ability to learn new tools as needed.
  • Experience: Minimum 5 years of experience in an administrative or supervisory role, preferably in the oil and gas industry.
