Facilities and Team Administrator Professional

We are seeking a highly organized and detail-oriented Facilities and Team Administrator to provide exceptional support to our team. The ideal candidate will have experience in a customer service/partnering environment and be proficient in using a hospitality/desk and room booking system.
Main Responsibilities:- Greet clients and guests, referring them to appropriate staff members as needed.
- Coordinate refreshments and maintain a high level of customer service excellence.
- E nsure the reception/office area is clean and well-maintained.
- Provide cover in the Client Welcome space.
- Liaise with suppliers and manage office supplies.
- Answer incoming telephone calls and deal with enquiries.
- Maintain a log of outgoing/incoming couriers and hand deliveries.
- Assist with AV and VC setup for meetings.
- Provide IT assistance for internal events.
The successful candidate will also be responsible for:
- Coordinating office requirements for stationery and pantry supplies.
- Liaising with the facilities team for supplies.
- Assisting with building access/security passes, deliveries, and parking.
- Supporting with services including air-conditioning, heating, lighting, cleaning, waste removal, and confidential waste.
You will also be responsible for supporting the Facilities teams with administration tasks, working with the Finance team on petty cash, expenses, and travel costs, providing support for business travel bookings and visa applications, and assisting with bulk printing, scanning, and archiving.
Requirements:- Fluent Arabic and English language skills.
- Experience in a customer service/partnering environment.
- Experience working in a Facilities department within a professional services environment.
- Experience using a hospitality/desk and room booking system.
- Able and willing to undertake standard housekeeping responsibilities.
- An ability to build relationships quickly with a wide range of people.
