About You

To be successful in this role, you will need 10 years of experience, prior senior stakeholder engagement on large-scale programs, and the ability to work collaboratively with a diverse group of internal and external stakeholders.

You will also require experience in managing others & taking the lead on a major program, proven experience working to tight deadlines within a changing environment, high attention to detail, and excellent interpersonal and communication skills.

Familiarity with MS Office Suite and the ability to work without excessive supervision are also essential.

Responsibilities

  1. Provide all necessary assistance concerning all stakeholder-related works under the guidance of the client Team Leader.

  2. Coordinate, manage, and liaise with all Stakeholders, Authorities, Consultants, and Contractors, arranging meetings and workshops, preparing presentations and minutes of meetings, reviewing all related document submissions to Authorities, following up with ongoing submissions, and providing feedback to the team for actions required.

  3. Document and keep track of all incoming and outgoing submissions and correspondences.

  4. Administer the handover process of the Utilities and Infrastructure Contracts with the relevant Authorities and Stakeholders, including documentation, meetings, inspections, coordination, and approvals.

  5. Prepare reports, manuals, and guideline documents pertaining to specific handover and stakeholder issues as required by the client.

  6. Provide support to the Program team and act as a client representative to oversee the handover process of the contracts.

  7. Attend weekly/monthly meetings as necessary for all types of projects, keep track and record all required actions from all Stakeholders, and follow up on the progress as required.

  8. Liaise with Key Stakeholders and Authorities to ensure a smooth handover of assets on completion of works.

  9. Provide handover and stakeholders input to weekly/monthly reports.

  10. Inform the Team Leader of any potential delays in the project completion or milestones.

  11. Provide support for the PMP and PQP plans that are applicable to both Internal and External Stakeholders with the responsibility to ensure that all stakeholders are fully aware of all information, and ensure alignment of all related systems and processes are integrated.

  12. Facilitate structured communication between workstreams, client RCRC departments, and external stakeholders.

  13. Define each stakeholder group's needs and use this understanding to develop relevant communication and engagement initiatives.

  14. Coordinate workshops, coordination meetings (online, face-to-face), working groups, and committee meetings – with all meetings recorded (minutes of meetings).

  15. Manage and help organize focus groups of companies, businesses, airline operators, and governmental departments.

  16. Develop the RACI Matrix for all stakeholders – Internal & External.

  17. Provide senior management with support to guide and enhance stakeholder understanding for new processes and technologies for the program.
