At Oil Support Services, we are seeking a highly skilled Contracts Representative to join our team. The successful candidate will be responsible for providing support for the tendering and contracting processes to ensure the smooth function of the Contracts Department.
Key Responsibilities:
- Apply approved Procurement and tendering policies, processes, and procedures to ensure work is carried out in a controlled manner.
- Monitor adherence to established standards and procedures to ensure compliance.
- Assist the proponent department in writing the RFP and review it for technical consistency and conformance to Company standards.
- Provide advice to the proponent department on matters related to the tender documents and overall process.
- Implement the Company Contracting Procedure Manual governing each tender to ensure compliance, a complete and fair process.
- Prepare all required documentation in SAP to ensure audit trail and minimize the risk of litigation against the Company.
- Develop procurement strategies that are cost-effective, efficient, and meet the needs of the organization.
- Identify potential Contractors, evaluate their capabilities, and negotiate contracts with them.
- Ensure that all procurement activities comply with legal requirements, company policies, procedures, and ethical standards.
- Resolve any issues that arise during the procurement process.
- Collaborate with other departments within the organization to ensure that procurement activities are aligned with overall business objectives.
- Monitor procurement performance metrics to identify areas for improvement and implement changes as needed.
- Maintain accurate records of all procurement activities.
- Provide guidance and support to other members of the procurement team as needed.
- Stay up-to-date on industry trends and best practices in procurement to continuously improve processes and procedures within the organization.
- Review team progress on tenders to ensure that key deadlines are met.
- Mentor team members on resolution of new or difficult issues to promote learning and growth.
- Participate in the Joint Tender Committee to provide clarifications related to the tender or bidders.
- Arrange pre-tender meetings as required with bidders to present their offer and answer any queries.
- Prepare timely and accurate reports for the Division to meet Company and Division requirements, policies, and standards.
Requirements:
- Bachelor's Degree in Business Administration, Engineering, Law, or Supply Chain Management.
- Preferably Ten (10) years of experience in contracting/tendering, contracts administration, and document controller works in the Oil and Gas industry.
- Excellent knowledge of the FIDIC Suite of Contracts.
- Excellent command of the English language both written and verbal, possessing effective interpersonal and communication skills.
- Strong analytical and research skills.
- Excellent knowledge of PC software operations such as Microsoft Office, SAP, SAP Ariba, B2B systems, etc.
