The admin assistant will support and perform day-to-day administrative tasks and ensure our administrative activities run smoothly on a daily and long-term basis. The admin assistant should be committed to providing efficient, reliable support to other departments, and external parties; be trustworthy, thorough, and courteous with excellent time management skills.

The position will also support various other departments within different duties and aspects.

**Responsibilities**
- Greet and assist visitors to the office.
- Assisting in daily office needs and managing our company’s general administrative activities.
- Maintaining supplies of stationery and equipment.
- Planning meetings and taking detailed minutes.
- Maintain a company calendar and schedule appointments and presentations with statistical data, as assigned.
- Organize, update and maintain employee records and filing.
- Update and maintain records and internal databases (such as BambooHR, NAV, Habibi).
- Ensuring accurate data entry and undertake employee data cleansing.
- Support in preparing reports related to the employee data, reports and presentations with statistical data, as assigned.
- Arrange for employee office supplies, business cards, mobile phones, etc.
- Coordination with government sectors for the company's official certificates to be valid.
- Assist with handling company’s deliveries and shipments through the carrier.
- Responsibility for all deliveries to customers, following up incoming and outgoing.
- Collection and submission of documents (Tenders / Proposals).
- Collection and submission of bank guarantees.
- Invoices submission and collection follow up.
- Company registration with customers.
- Assist in organizing company's events.
- Supporting customer events (booking, invitations, and coordination onsite).
- Collaborate with internal teams.
- Perform administrative and other tasks as needed.
- Assist with PRO activities as required.
- Coordinating office maintenance.

**Qualifications and Skills**
- Bachelor’s degree in Business Administration or in HR.
- Good Knowledge in MS Office (Excel, Word, PowerPoint, etc).
- Basic knowledge or experience in Junior HR role.
- Good knowledge in Saudi Labor Law, Visa Process and Medical Insurance.
- Excellent communication skills (Both in English and Arabic).
- Excellent organizational skills.
