The position for the Office/Project Coordinator includes the below roles and responsibilities:
Office/Project Coordinator
- Under general supervision, resolves most problems but refers more complex issues to higher levels
- Processes documents (including indexing into database and/or enterprise content management system).
- May serve as a resource to others in the resolution of problems and issues.
- May orient, train, assign, and check the work of lower level employees.
- Serve as a secondary liaison between project clients and the URS team, supporting the GM and PMs.
- Coordinate project resources, including:
- Digital archiving of daily project records.
- Preparation of documentation.
- Tracking of file formats and technical equipment (calibration, certification, usage).
- Assist GM and PMs in developing proposals, reports, schedules, scope statements, and project plans.
- Monitor project progress and team performance; provide updates to stakeholders.
- Handle daily correspondence: distribute incoming letters, prepare meeting minutes, and maintain records of RFIs, transmittals, and client communications.
- Supervise and train new administrative assistants and document controllers, especially in:
- Staff training records.
- Equipment tracking and calibration.
- Documentation and archiving.
- Updating office and business certificates
