Role Purpose:
The Document Controller II at Al Bawani Construction Company is responsible for managing and organizing project documents, ensuring accuracy, completeness, and compliance with company and industry standards. This role involves setting up and maintaining document control systems, coordinating with project teams, and ensuring all documentation is properly filed, archived, and easily accessible. Document Controller II plays a critical role in supporting project delivery and maintaining the integrity of the company's document management processes.
Job Accountabilities.
- Maintain and manage all project-related documents in accordance with company policies and quality management standards.
- Develop, implement, and maintain a robust document control system to ensure easy retrieval, version control, and document security.
- Ensure timely distribution of documents to relevant departments and personnel. Maintain both hard and soft copies of records in an organized filing system.
- Verify document accuracy, completeness, and compliance with established formats before submission or distribution.
- Track the status of all controlled documents and generate periodic reports on document activity, revisions, and pending approvals.
- Coordinate with project teams, contractors, and stakeholders to ensure proper document flow and adherence to documentation standards.
- Protect sensitive and confidential information by following company data security protocols.
- Assist in internal and external audits by providing accurate documentation and ensuring compliance with document control procedures.
- Provide guidance and training staff on document management processes and tools.
- Regularly review document control processes and recommend improvements to enhance efficiency and accuracy.
Job Requirements.
- Minimum of 3 years of experience in document management or a related field, preferably in the construction or engineering industry.
- Experience working with Electronic Document Management Systems (EDMS) (e.g., Aconex, ASITE, Procore, or similar platforms).
- Basic understanding of document control processes and compliance standards (e.g., ISO 9001).
- Experience in providing technical support and training to end-users.
- Knowledge of data security and protection best practices.
- Bachelor's degree or Diploma in a relevant field (e.g., Information Systems, Business Administration).
- Higher education in Information Systems, Business Administration, or a related field.
- Certification in Document Management Systems (e.g., CDMP or equivalent) is a plus.
- Strong understanding of Drawing Office/Document Control procedures.
- Excellent organizational and time management skills, strong attention to detail and accuracy.
- Excellent verbal and written communication skills.
- Strong team player with the ability to work under pressure and meet tight deadlines.
- ERP knowledge, preferably SAP functional skills.
