Administration Representative (HR, Accounting, Legal & PR Support) - ONLY FOR SAUDIS

Position Overview

The Senior Administration Officer plays a central role in supporting the company's operational, administrative, and compliance needs. This position ensures smooth coordination across HR, accounting, legal, and public relations functions while maintaining a high level of professionalism, confidentiality, and accuracy. The role requires strong organizational skills, attention to detail, and the ability to multitask in a fast-paced environment.

Key Responsibilities

1. Human Resources Support

  • Assist with recruitment activities including posting job ads, screening CVs, scheduling interviews, and coordinating candidate communication.
  • Support onboarding and offboarding processes (documentation, induction scheduling, system access, exit formalities).
  • Maintain HR records, personnel files, attendance logs, and leave management.
  • Coordinate employee relations activities, trainings, and internal communications.
  • Support payroll preparation by collecting attendance, overtime, and leave data.

2. Accounting & Finance Support

  • Prepare, organize, and maintain finance-related documents (invoices, receipts, purchase orders).
  • Assist in data entry, expense tracking, and reconciliation tasks under the supervision of the finance team.
  • Coordinate with vendors and internal departments for timely submission and processing of payments.
  • Support monthly closing activities by providing accurate administrative and financial documents.

3. Legal & Compliance Assistance

  • Maintain and update company legal documents, contracts, and licenses.
  • Track renewals for trade licenses, insurances, government registrations, employee visas, and other regulatory requirements.
  • Prepare basic drafts and documentation for legal review.
  • Liaise with external legal advisors and government authorities when required.
  • Ensure confidentiality and compliance with internal policies and regulations.

4. Public Relations & Government Affairs

  • Handle company PRO-related tasks including visa applications, labor processes, ID, immigration documentation, and other government transactions.
  • Coordinate with government portals and centers.
  • Ensure timely renewals of company and employee documents.
  • Support PR communication when needed (press materials, internal announcements, brand-related documentation).

5. Office & Administrative Support

  • Maintain organized filing systems (physical and digital).
  • Coordinate office supplies, stationery, and general administrative needs.
  • Prepare reports, memos, letters, and other documents as required.
  • Handle internal and external communications in a professional manner.
  • Support management with ad-hoc administrative tasks.

Qualifications & Skills

  • Bachelor's degree in Business Administration, HR, Accounting, or related field.
  • 2–4 years of experience in administration, HR, accounting support, or coordination roles.
  • Familiarity with Saudi labor law, visa processes, and government portals is an advantage.
  • Strong communication, organizational, and problem-solving skills.
  • High level of confidentiality, ethics, and professionalism.
  • Proficiency in MS Office applications (Excel, Word, PowerPoint).
  • Ability to multitask and work under tight deadlines.
