Key Responsibilities

Front Desk & Reception Duties

  • Greet and welcome visitors in a professional and friendly manner.
  • Manage the reception area to ensure it is presentable, clean, and well-organized.
  • Answer and route phone calls, emails, and inquiries promptly.
  • Assist visitors with sign-in procedures and issue visitor passes as required.
  • Maintain appointment schedules and meeting room bookings.

Administrative Coordination

  • Provide administrative support to departments as needed.
  • Prepare and manage documents, reports, and correspondence.
  • Coordinate meetings, events, and internal communications.
  • Assist with filing, data entry, and maintenance of office records.
  • Handle courier services, incoming/outgoing mail, and document distribution.

Office Operations Support

  • Monitor office supplies and place orders when necessary.
  • Coordinate with vendors and service providers (maintenance, IT, housekeeping, etc.).
  • Support HR and Admin in onboarding procedures (access cards, desk setup, documents).
  • Assist in maintaining updated employee and contact lists.

Communication

  • Act as the first point of contact for clients, employees, and guests.
  • Handle complaints or requests and escalate as needed.
