The Role
The Project Coordinator is an integral role that ensures that projects are organized and communication is clear.

This role collaborates on project teams of all scales and demonstrates passion and commitment to the firm's vision, brand, goals, documentation standards, and efficient workflows.

Through implementation of best practices and clear command of the systems outlined in the Project Delivery Manual, Project Coordinators act as liaisons within their project teams, that support project deliverables toward success through internal and external organizing schedules, producing reporting, and maintaining accurate invoicing.


Job Duties and Responsibilities

  • Manages scheduling of meetings and ensures all necessary attendees are invited.
  • Organizes and gathers meeting agenda, documents minutes, ensures accuracy, and circulates for review, using the company processes and templates.
  • Coordinates team travel related to projects
  • Prepares kickoff agendas, schedules meetings and workshops.
  • Ensures all travelers are prepared for travel location including Visas, travel restrictions, etc.
  • Gathers information necessary for project reporting: creating reports and circulating for review and official submittal through Document Control.
  • Verifies project ADRs and Workplans are being maintained by project team.
  • Maintains project file management file management standards are upheld.
  • Support project invoicing through accurate file management, timely internal and external communications and updating company's financial system to ensure timely receipt, distribution, and payment of invoices.
  • Assists in maintaining and tracking accurate project scheduling across all systems.

Qualifications and Experience

  • 8 years of experience or a combination of education, work experiences, and the demonstration of the required duties and responsibilities.
  • Demonstrates solid planning, organizational and execution skills.
  • Foundation of Microsoft Office and Excel skills and ability to navigate scheduling and project systems.
