- To provider assistance to the Procurement Officer in all procurement activities.
Key duties and responsibilities:
Procurement Duties
- Assist with capturing of vendor information on the vendor database.
- Electronic filing and administration of all vendor related documentation.
- Ensure that goods/products are purchased from suppliers that have conducted compliance checks successfully.
- Sourcing of comparable quotations for the procurement officer.
- Assist in the preparation of procurement packs.
- Source approval from end users prior to final submission of the packs for final approval.
- Ensure that PO's are being sent to the suppliers only when authorized and approved by the relevant body in accordance to the procurement thresholds.
- Keep a sequential register of procurement requests Status Report providing statistics on the turnaround time of each procurement made.
- Ensure all emails in the procurement emailbox receive attention timeously.
- Follow up on all POs issued, making certain that suppliers meet deadlines and deliver quality goods.
- Assist with all procurement activities independently to act as a backup for Procurement Officer.
- Shadow Procurement Officer to ensure continuation of day to day work.
- Be the first point of contact for procurement related request and queries.
- Demonstrate exceptional customer service in all procurement aspects.
- Work closely with procurement key stake holders and provide constant feedback on their respective procurement orders.
- Attend to other ad hoc duties as and when required and requested by the Procurement Officer.
Qualifications and Experience
- Relevant b.com qualification
- One year experience in a commercial environment
- Basic knowledge of procurement policies, procedures and mechanisms
- Basic knowledge of the Request for Quotation/Proposal processes
- People and service orientated person.
