Business Support Coordinator
- ROLE SUMMARY
Business Support Coordinator is a member of the category/function team who will provide operational business support to the whole category’s members. He / She is responsible for managing end-to-end logístical work related to the category/function member's activities, training, and group meetings. Also, managing customers' and external stakeholders’ qualifications to Pfizer systems in compliance with Pfizer’s policies. Also Pfizer’s SOPs logístical execution, documentation, and inventories.
- Roles and Responsibilities:
- Manage the logistics of the team’s activities that are falling out of the CE team’s scope; either sales teams related (e.g. corporate sponsorships, Educational grants, business donations, Audio-visual activities), marketing teams related (e.g. detail aids, printing materials, RTE, etc.) or commercial functions related.
- Support the inventory of SOPs-related documentation (e.g. tenders SOPs, returned goods SOPs, ) as well as the inventory of distributors' contracts.
- Support vendors/distributors' creation, renewals, and amendments to Pfizer’s systems (e.g. DDQ & ACM).
- Support RFI / RFP process with vendors and/or distributors.
- Managing team requests’ submissions and following up on approvals.
- Managing vendor’s POs submissions and following up its approvals.
- Prepare and review vendors / Distributor documents in relation to Pfizer’s policies and SOPs.
- Securing E-Pay approvals for vendors, HCPs, and HCOs.
- Preparing & submitting category transparency and disclosure data to comply with SFDA reporting.
- Following up MSBs and DocuSign approvals.
- Support newly hired colleagues during the hiring, training, and probation period in managing the required logistics (e.g. Accommodation, Air tickets, Company IDs, activities payments through POs, etc.)
- Support group’s logistics in relation to category’s specific training, launches, POA, and quarterly cycle meetings.
- Ensure implementing roles and responsibilities in compliance with Pfizer’s policies and SOPs.
- Organizational relationship:
- Category coordinator will act closely with internal customers (Filed Force, Sales managers, Field Trainers, Country Brand Lead, Category lead, Procurement, GCO, Finance, HR, compliance, legal and GCO (Customer engagement, Training, Sales and marketing services)).
- Function coordinator will act closely with internal customers (Distributors manager, Distributor executive, Key account managers, Key account executive, KAM Lead, commercial lead, commercial excellence lead, tender services manager, projects and operational excellence lead, contracting and channel marketing manager, Procurement, HR, compliance, legal)
- Category coordinator; act closely with external customers (Advertising Agents and Vendors).
- Function coordinator; act closely with regional administrative assistant - Sales Intermediaries.
- Collaborate with other category coordinators and support personnel.
- Requirements;
- Diploma’s or bachelor’s degree in Business Administration or other equivalent degrees.
- Multi-tasker with excellent communication skills (Written & Verbal).
- Builds collaborative relationships within the organization considering diversities in backgrounds, genders, and nationalities.
- Attention to detail & Operates with discipline.
- Well organized with the ability to coordinate, prioritize and manage under pressure
- Enthusiastic, agile to learn and take responsibility with a “can-do” attitude.
