Types, Food & Beverage reports, letters, memorandum and forms.
- Prepare daily events, f&b reports and function sheet, and hand over to RM & FBM office
- Takes minutes during departmental meetings.
- Receives and monitors all incoming calls to Food & Beverage Manager or delegates.
- Maintains and updates a follow up file for the purpose of reminding Food & Beverage Manager or delegate of functions, events, meetings, appointments and other related matters.
- Collects Food & Beverage mail, sorts and distributes to all concerned.
- Maintains and controls office supplies stock and reminds concerned supervisor of stores requisition days. Does regular inventory of guest items that needs to be ordered as well such as f&b office supply, and etc.
- Makes order requisition in FBM & QEMS System.
- Updating Civil Soft (Attendance Record & Overtime), I Opener & IBP every day.
- Check F&B Box from time to time for any important documents
- Keeps record of employee’s work schedules, vacations, and sick leave.
- Receives and attends to callers of the Food & beverage Manager’s office.
- Raises and follows up on maintenance orders as appropriate.
- Ensures the filing is up to standard and easily accessible.
- Maintains good employee relations with all Food & Beverage employees.
- Ensures that secretarial equipment is always in good operational condition.
- Complies with the hotel’s Health, Safety and Hygiene policy.
- Assists in maintaining the cleanliness in the FBM Office, AFBM Office, RM Office & (F&B Store Areas).
- Ensures that colleagues (old & new) attend the monthly training sessions conducted by the Training Department.
- Maintains proper, up-to-date Training Files for all colleagues and updates it on a monthly basis.
- Performs related duties and special projects as assigned
