**Context**:
**Main duties**:

- Visitor management, welcoming visitors and/or employees, managing visitor presence, notify company personnel of visitor’s arrival, visitor tracking throughout office premises.
- Extend administrative support to the Office & Logistics Department.
- Answers, screens, and directs phone calls to company personnel, records messages and schedules appointments.
- Create and manage both digital and hardcopy filing systems for all partners.
- Prepare and maintain accurate spreadsheets and data reports.
- Schedule and confirm appointments and maintain event calendars.
- Organise meetings, to maintain calendars and initiate calendar invites with meeting follow-up.
- Set priorities, plan and organize tasks with accuracy to setting activities.
- Coordinating internal and external events.

**Personal qualities**:

- Bachelor’s degree (or equivalent) in communications / business or similar field.
- Experience in a receptionist, secretarial or similar role.
- Proficiency in Microsoft Office.
- Excellent interpersonal and communication skills.
- Organized and resourceful.
- Customer-focused.
- Active listener.
- Adept at prioritizing, scheduling and multitasking.
- Ability to handle office equipment (e.g., the telephone system, printer and fax machine).
- Fast and eager learner.
