**The Role**

The Associate Document Controller is an integral role to maintaining project documents. This role ensures that documents are accurately processed, stored, and distributed to teams. In addition to maintaining project documents, a document controller would need to be highly collaborative on teams of all scales and demonstrate passion and commitment to the firm’s vision, brand, goals, documentation standards, and efficient workflows. Through implementation of best practices and clear command of the systems outlined in the Project Delivery Manual, Associate Document Controller ensures compliance with all documentation and reporting standards and communicate clearly both with document control departments for clients and project teams.

**Job Duties and Responsibilities**
- Coordinates the flow of documents for multiple project operations, design disciplines, and sub consultants.
- Responsible for distribution, organization, and maintenance of internal office design team documents.
- Management of company documents for accuracy, quality, and integrity.
- Assessment and review of documents to ensure completeness.
- Preparation of transmittal and distribution of documents (format and standard may vary by project).
- Expedites review, signature approval, and release of internally produced documents.
- Management of company and project templates.
- Receives, tracks, and monitors documents using standard document management programs to register documents, maintain databases, and produces logs, transmittals, and other reports as required.
- Responsible for ensuring document retention policies are being followed.
- Responsible for archiving documents as per a defined process.
- Supports company and project audits.
- Takes initiative and demonstrates vested interest in the success and quality of the project. Initiates and supports firm-wide improvement activities through support of short and long-term solutions to help build systems for project compliance, and efficient workflows for review.

**Qualifications and Experience**
- 8+ years of experience or a combination of education, work experiences, and the demonstration of the required duties and responsibilities.
- Understands the importance of collaboration; manages, mentors, engages and empowers within team members both internally and externally; Experience with team management of 2+ direct reports preferred.
- Demonstrates solid planning, problem solving, organizational and execution skills. Balances priorities and competing demands internally and externally.
- Ability to work independently and ability to multi-task.
- Excellent written and verbal communication skills.
