Job Description

The Shared Services Manager plays a critical role in ensuring operational efficiency, regulatory compliance, and resource optimization across departments and locations within Aqua-Tots Saudi Arabia. This position oversees key support functions, including procurement, inventory, IT, logistics, facility management, and public and government relations.

Key Responsibilities:

  • Develop and manage procurement plans based on company needs to ensure the right materials are available at the right time.
  • Establish policies to improve purchasing efficiency and cost savings through effective supplier relationships.
  • Identify and evaluate new suppliers based on quality, price, and delivery reliability to ensure a stable supply chain.
  • Negotiate pricing, payment terms, and return policies to secure the best deals with key suppliers.
  • Review and approve supplier contracts to align with company requirements and ensure regulatory compliance.
  • Monitor supplier performance to ensure compliance with quality standards.
  • Manage inventory levels to prevent shortages or excess stock.

Public And Government Relations

  • Liaise with government authorities to ensure regulatory compliance and stay up-to-date on relevant laws and regulations.
  • Manage licenses and operational contracts to minimize risk and ensure business continuity.
  • Oversee public relations and communication strategies to maintain a positive image and reputation.
  • Review and monitor service contracts to ensure timely renewals and compliance with regulatory requirements.
  • Ensure financial obligations related to contracts and government requirements are met to avoid penalties or fines.
  • Make informed decisions on contract renewals or renegotiations to optimize costs and benefits.
  • Supervise company vehicle and driver operations to ensure safety and efficiency.
  • Approve branch or department requests for modifying, canceling, or issuing telecommunications and internet services.
  • Review real estate and service contracts and ensure tracking of their start and expiration dates.
  • Ensure timely processing of government-related requests to avoid operational delays.
  • Review government transactions and reports for efficiency improvements.
  • Negotiate when necessary to resolve disputes or issues arising from official procedures.
  • Ensure compliance with regulations and legal requirements.
  • Monitor updates on government regulations related to company operations.
  • Ensure all activities comply with Saudi regulations to avoid penalties or fines.
  • Handle urgent or unexpected issues as needed.

Facility Management

  • Provide strategic leadership and oversight for the management of all Aqua-Tots facilities, including swim schools, corporate offices, and staff accommodations.
  • Approve and monitor the implementation of maintenance plans, vendor contracts, and safety protocols to ensure service quality, cost-effectiveness, and regulatory compliance.
  • Set performance standards and ensure adherence to health, safety, and environmental regulations across all facility operations.
  • Champion initiatives that enhance facility sustainability, space optimization, and long-term infrastructure performance.
  • Directly supervise the Facility Manager, providing guidance, resolving escalated issues, approving budgets, and ensuring that facility operations are strategically integrated with broader business objectives.

IT Management

  • Oversee the maintenance and operation of IT systems to ensure business continuity and minimize downtime.
  • Provide support for hardware, software, and network infrastructure to ensure seamless operations.

Qualifications & Background

  • Bachelor's degree in Business Administration, Management, or Finance.
  • 3–5 years of experience in operations or facilities with financial and managerial responsibilities.
  • Demonstrated ability to lead diverse support functions and manage teams.
  • Strong knowledge of vendor management, government regulations, and contract oversight.
  • Effective communication in Arabic and English.
  • Problem-solving skills and a focus on continuous improvement and risk mitigation.
  • Budgeting and cost-control experience.
