Ultimate Peaks is seeking a highly organized and skilled Reception Coordinator to join our team. As a key member of our front desk, you will be responsible for ensuring a welcoming and efficient reception experience for patients and visitors.

Responsibilities
  1. Patient Check-In:
    The ideal candidate will greet patients and visitors in a professional manner, verify patient information, and complete check-in procedures efficiently.
  2. Appointment Scheduling:
    We require someone who can schedule and confirm patient appointments, manage the appointment calendar, and notify patients of any changes to their scheduled appointments.
  3. Patient Communication:
    A strong communicator is essential for handling incoming calls, responding to patient inquiries, and providing information about services, policies, and procedures.
  4. Record Management:
    Maintaining accurate and up-to-date patient records is critical. The candidate will process patient registration forms, update information as needed, and ensure confidentiality and security of patient information.
  5. Financial Transactions:
    We need someone who can collect payments for services rendered, issue receipts, assist patients with billing inquiries and insurance claims, and maintain accurate records of financial transactions.
  6. Administrative Support:
    This role involves assisting with administrative tasks such as filing, e-mails, and communications, and supporting the Admin Manager and other staff with special projects and tasks.
  7. Quality and Compliance:
    The successful candidate must adhere to healthcare and organizational regulations, standards, and protocols, especially regarding patient confidentiality and data protection.
  8. Professional Development:
    Ongoing training and professional development are essential to stay updated on administrative best practices and clinic procedures.
Requirements
  • A relevant educational degree; additional qualifications in healthcare administration or customer service are beneficial.
  • Minimal 1 to 2 years of experience as a receptionist or in a customer service role, in a healthcare setting.
  • Strong communication and interpersonal skills.
  • Proficiency in using office software and patient management systems.
  • Excellent organizational skills and attention to detail.
