Senior Event Manager Role

Raffles Hotels & Resorts is seeking a seasoned and detail-oriented Senior Events Manager to join our dynamic team in Jeddah, Saudi Arabia. As a key member of our organization, you will play a crucial role in planning, coordinating, and executing successful events for our clients.

  1. Key Responsibilities:
  2. Lead and coordinate all aspects of events, ensuring seamless execution from start to finish
  3. Maintain strong relationships with clients, vendors, and internal teams to deliver exceptional results
  4. Create and manage event timelines, budgets, and logistics, adhering to high standards of quality and professionalism
  5. Conduct site visits and prepare detailed proposals for clients, highlighting our unique selling points and value proposition
  6. Oversee event setup, including venue layouts, audiovisual equipment, and catering arrangements, ensuring every detail is meticulously attended to
  7. Manage event-related communications, including invitations, confirmations, and post-event surveys, maintaining open lines of communication and keeping stakeholders informed
  8. Coordinate with various departments to ensure all event requirements are met, working collaboratively to deliver outstanding results
  9. Handle last-minute changes and resolve any issues that arise during events, remaining calm and composed under pressure
  10. Prepare and distribute function sheets, contracts, and invoices, maintaining accurate records and meeting deadlines
  11. Conduct post-event evaluations and prepare reports for management, identifying areas for improvement and implementing changes to enhance future events
  12. Stay up-to-date with industry trends and best practices, continually improving event offerings and exceeding client expectations

Essential Requirements:

  • Bachelor's degree in Event Management, Hospitality, or related field
  • Proven experience in event planning and coordination, with a track record of delivering successful events
  • Strong organizational and time management skills, with the ability to prioritize tasks and meet deadlines
  • Excellent communication and interpersonal skills, with the ability to build strong relationships with clients, vendors, and internal teams
  • Ability to manage multiple projects simultaneously, working efficiently and effectively under pressure
  • Exceptional attention to detail and problem-solving skills, with the ability to think critically and outside the box
  • Proficiency in event management software and Microsoft Office Suite, with the ability to learn new systems and technologies quickly
  • Experience in budget management and vendor negotiations, with a deep understanding of financial principles and commercial acumen
  • Customer service orientation, with a friendly and professional demeanor, able to provide exceptional service to clients and stakeholders
  • Adaptability, with the ability to handle last-minute changes and work under pressure, remaining calm and composed at all times
  • Knowledge of local venues and vendors in Jeddah, Saudi Arabia, with a deep understanding of the local market and its nuances
  • Familiarity with Saudi Arabian cultural norms and event practices, with the ability to adapt and evolve to meet the needs of our clients and stakeholders
  • Fluency in Arabic and English (both written and spoken), with the ability to communicate effectively with clients, vendors, and internal teams
  • Ability to work flexible hours, including evenings and weekends when required, with a willingness to go above and beyond to deliver exceptional results
  • Valid work authorization to work in Saudi Arabia, with the right to live and work in the country without restriction
