Job Title: Board Affairs Specialist

We are seeking a highly skilled Board Affairs Specialist to join our team at the Islamic Development Bank. The successful candidate will be responsible for providing advanced level expertise in the design and automation of rules, processes, and procedures related to the functioning of the Boards and committees.

Key Responsibilities:
  • Provide expert-level support to the Boards of Directors, Governors, and Committees, ensuring the smooth functioning of their meetings and activities.
  • Coordinate and manage communication channels between the Bank's Management and Group Entities and the Members of Boards to ensure effective coordination and flow of information.
  • Manage the timely preparation, submission, and publication of Boards documents, including the distribution of Board of Governors and Procedures Committee papers for consideration.
  • Organize and oversee the smooth implementation of the Board and other committees' elections meetings, in accordance with the requirements under the relevant rules and regulations.
  • Provide accurate documentation for Board meetings, including the preparation of summary records, minutes of meetings, briefings, and executive summaries.
  • Oversee and facilitate pre-meetings and post-meetings arrangements, ensuring that all necessary activities have been implemented properly and timely.
  • Maintain official records and documents relating to the meetings of the Board of Governors and General Assemblies in accordance with the Bank's policies and procedures.
  • Conduct post-meeting evaluation, including data analysis and report generation for the management's review.
  • Communicate regularly with Member Countries in relation to membership matters and Board Members, and other internal and external stakeholders across the Bank to resolve any relevant inquiries and build and maintain excellent business relations.
Requirements:
  • Bachelor's degree in Business/Public Administration, Marketing, Communications, Company Secretaryship, or related field.
  • Minimum 5 years of experience in Board Relations, preferably in an International Development Institution.
  • Knowledge of corporate governance, board protocols, policies, and procedures.
  • Business acumen and understanding of the Bank's activities.
  • Analytical thinking and problem-solving skills.
  • Ability to handle confidential information in a discrete manner.
  • Attention to detail and accuracy.
  • Executive information management and production and management of board-related systems and platforms.
