About the Role:

We are seeking an experienced Project Manager to oversee the planning production and execution of a Leading International Museum Conference scheduled to be held in June 2025. The ideal candidate must be fluent in Arabic and have 10 years of experience managing largescale conferences with a proven track record of delivering highprofile events in Saudi Arabia.

This role requires a seasoned professional who can manage all aspects of conference production from logistics and technical setup to speaker coordination sponsorship management and onsite operations. The Project Manager will play a critical role in ensuring the event is executed seamlessly meeting all operational financial and quality expectations.

Key Responsibilities:

1. Project Planning & Management

  • Develop a comprehensive project plan covering all aspects of conference production logistics and execution.
  • Define project timelines milestones and deliverables ensuring strict adherence to deadlines.
  • Manage budgets contracts and resources optimizing efficiency while maintaining highquality standards.
  • Lead coordination meetings with stakeholders vendors and internal teams to align on objectives.
  • Ensure compliance with Saudi regulations including venue health & safety and event licensing requirements.

2. Conference Production & Execution

  • Oversee the full production cycle including venue setup AV requirements exhibition spaces and speaker sessions.
  • Work closely with logistics hospitality and protocol teams to manage flights accommodations and transport for VIPs speakers and delegates.
  • Ensure the smooth operation of workshops panels and networking sessions providing an engaging attendee experience.
  • Coordinate with the technical and creative teams for stage design branding and digital content integration.
  • Implement crisis management and contingency plans to address any unexpected challenges.

3. Stakeholder & Vendor Management

  • Serve as the main point of contact for government entities sponsors and key partners.
  • Engage and manage local and international vendors ensuring timely and highquality service delivery.
  • Collaborate with the authorities client and key cultural institutions to align event objectives.
  • Work closely with sponsors and exhibitors ensuring brand activations and partnership agreements are fully executed.

4. Team Leadership & OnSite Operations

  • Recruit onboard and manage a dedicated project team including coordinators and technical staff.
  • Provide leadership during the preevent planning phase onsite execution and postevent debriefing.
  • Lead daily operations briefings during the conference to ensure seamless coordination among teams.
  • Monitor and evaluate KPIs related to attendee satisfaction logistical performance and overall event success.

Required Qualifications & Experience:

  • Fluent Arabic speaker (written and spoken); proficiency in English is an advantage.
  • Minimum of 10 years of experience in project management specifically in conference and event production.
  • Proven experience working in Saudi Arabia with a deep understanding of local regulations business culture and event execution standards.
  • Strong background in largescale event logistics technical production and stakeholder coordination.
  • Expertise in budget management contract negotiations and supplier management.
  • Experience in managing VIPs highprofile speakers and cultural delegations.
  • Familiarity with event technologies registration systems and audience engagement tools.

  • Excellent leadership problemsolving and communication skills.

Preferred Qualifications:

  • PMP PRINCE2 or other project management certifications.

  • Experience in governmentled cultural events exhibitions or museumrelated conferences.
  • Previous collaboration with Saudi ministries cultural commissions or international organizations.
