Roles and responsibilities

A delivery coordinator is responsible for managing the distribution and delivery schedules and ensuring that the items for delivery are thoroughly inspected for quality. Delivery coordinators review customer orders multiple times to prevent distribution delays and possible complaints. They also reach out to the customers for delivery confirmation and list other instructions and adjustments as needed. A delivery coordinator handles the customers' inquiries and concerns, processes replacement orders, and resolve order disputes timely and efficiently.

Tasks:
1. Contact customers to confirm delivery date and address and solving problems and respond to delivery related inquiries and concerns from customers.
2. Track the status of product deliveries and resolve any issues promptly.
3. Monitor performance standards and targets to provide a consistently high level of service to the business and our customers.
4. Carry out quality checks to ensure quality standards are maintained.
5. Maintain accurate timely and detailed records including input to the central database facility.

Provide support in pick-up and delivery of products according to customer orders
Planning and Scheduling Deliveries
Coordinate delivery schedules: Organize and schedule deliveries to ensure they are completed on time and in line with customer expectations.
Optimize delivery routes: Plan the most efficient routes for drivers or delivery teams, taking into account factors like traffic, delivery windows, and geographic location.
Confirm delivery dates: Communicate with customers to confirm delivery dates and times, ensuring that the delivery aligns with their availability.
Monitor delivery timelines: Ensure that all deliveries are executed within the agreed-upon timeframes, addressing any delays or issues as they arise.
Communication with Customers
Provide delivery updates: Keep customers informed about the status of their deliveries, including any changes to delivery times or potential delays.
Handle customer inquiries: Respond to customer questions, concerns, and complaints related to the delivery process, offering timely and professional solutions.
Resolve issues: Address any delivery issues or disputes, such as missing items, damages, or scheduling conflicts, and work toward a resolution.
Confirm delivery completion: After the delivery, confirm that customers are satisfied with the order and that everything was received in good condition.

Desired candidate profile

Managing Delivery Teams and Drivers
Coordinate with drivers: Communicate delivery schedules, routes, and any special instructions to drivers or delivery personnel.
Track delivery progress: Monitor the progress of deliveries throughout the day, providing support or guidance as needed to ensure timely and safe delivery.
Ensure driver compliance: Ensure that drivers follow safety protocols, company policies, and local regulations while making deliveries.
Support training and development: Assist in the training of new drivers or delivery personnel to ensure they understand delivery procedures, safety standards, and customer service expectations.
Inventory and Stock Management
Monitor inventory for deliveries: Ensure that the right products are available and ready for delivery according to customer orders.
Oversee packaging and labeling: Ensure that products are properly packaged, labeled, and ready for transport to avoid any errors during delivery.
Track deliveries and returns: Keep track of the products being delivered and any returns or exchanges, ensuring that they are processed correctly.
Troubleshooting and Problem Solving
Handle delivery discrepancies: Investigate and resolve issues such as missing, damaged, or incorrect items. Work with the warehouse or distribution center to rectify the problem and ensure a quick resolution.
Manage urgent deliveries: Respond to urgent or last-minute delivery requests and arrange expedited services when necessary.
Coordinate returns and exchanges: Facilitate the process of returning or exchanging goods in the event of customer dissatisfaction, ensuring smooth logistics for the returned items.
