**Job Summary**:
**Position Overview**:
We are seeking a skilled and detail-oriented Associate Director of Property Management to provide essential assistance and support to the Executive Director of Property Management. This role will be instrumental in ensuring the smooth execution of property management functions, assisting in strategic planning, lease and tenant management, facilities management, finance and accounting, customer service, reporting, health, safety, and risk management, as well as people management.

Key Responsibilities:
**Strategic Planning Support**:

- Assist in implementation of property management procedures, policies, values, and guiding principles.
- Contribute to the analysis of internal and external factors to identify strategic paths for the property management department.

**Lease and Tenant Management Support**:

- Assist in interpreting key contractual provisions and reviewing obligations on leases.
- Collaborate with the commercial team to ensure tenant lease structures align with property management strategy.
- Support in identifying solutions for property-level PM services and digital solutioning for business requirements.

**Facilities Management Support**:

- Assist in executing utility, metering, charging, and activations strategies.
- Support data analytics for utility consumption trends and energy performance studies.

**Finance and Accounting Support**:

- Support in compiling annual operational budgets and tracking actual costs.
- Manage inputs for the cost operating financial models and service charge budgets.
- Participate in portfolio assessments to identify CAPEX needs, cost-saving measures, and resource planning.

**Customer Service Support**:

- Contribute to the adoption of systems and platforms for efficient customer service practices.
- Assist in conducting service quality assessments and tracking adherence to property management strategy.
- Support in developing strategies for promoting and delivering services to customers.

**Reporting Support**:

- Collaborate in sourcing and manipulating data for operational performance analysis and reporting.
- Collating and preparing data for monthly reports.
- ** Must be proficient in Excel and PowerPoint to create graphs, charts, and presentations for performance reporting.**

**Health, Safety, and Risk Support**:

- Assist in developing risk mitigation strategies and ensuring compliance with regulatory requirements.
- Contribute to maintaining a positive HSQE and information security culture.

**People Management Support**:
**Qualifications and Skills**:

- Bachelor's degree in Real Estate, Property Management, Business, or a related field.
- Minimum of 5 years of experience in property management.
- Strong organizational and problem-solving skills.
- Proficiency in Microsoft Excel and PowerPoint is a must, including the ability to create graphs, charts, and presentations for reporting purposes.
- Excellent communication and collaboration abilities.
- Familiarity with financial analysis and budget management.
- Knowledge of property management regulations and best practices.
- Ability to work well in a team and support the executive director effectively.
