Job description

We are seeking a highly organized and proactive Vendor Management Manager to join our dynamic event management company. This role is pivotal in managing relationships with a wide range of vendors across the event industry, ensuring seamless coordination, compliance, and service delivery.

Key Responsibilities

· Develop and maintain strong relationships with vendors across various categories including audiovisual (AV), catering, logistics, décor, staging, security, transportation, and more.

· Oversee the vendor registration and onboarding process, ensuring all documentation and compliance requirements are met.

· Manage vendor contracts including negotiation, execution, renewal, and termination in alignment with company policies.

· Coordinate with internal departments to understand vendor requirements for each event and ensure timely procurement of services.

· Monitor vendor performance and service quality, implementing corrective actions when necessary.

· Maintain a centralized vendor database with up-to-date contact information, service offerings, and contract details.

· Ensure vendors adhere to event timelines, safety standards, and quality expectations.

· Conduct regular vendor evaluations and feedback sessions to foster continuous improvement.

· Support budgeting and cost control efforts by negotiating competitive rates and identifying cost-saving opportunities.

· Stay informed about industry trends and emerging vendors to enhance the company's supplier network.

Job requirements

· Bachelor's degree in business administration, Supply Chain Management, Event Management, or related field.

· Minimum of 5 years of experience in vendor management, preferably within the events or hospitality industry.

· Strong negotiation, communication, and interpersonal skills.

· Proficiency in contract management and vendor onboarding processes.

· Ability to manage multiple vendor relationships and prioritize tasks effectively.

· Familiarity with event production requirements and vendor categories.

· Detail-oriented with strong organizational and documentation skills.

· Proficient in Microsoft 365 and vendor management software.

· Proficient in SAP Ariba, SAP 4HANA.
