Job Description: Admin cum Logistics Coordinator (High-End Furniture Industry)

Position Overview

We are seeking a highly organized and detail-driven Admin cum Logistics Coordinator with experience in high-end furniture or luxury interior products. The role supports daily administrative operations while managing end-to-end logistics for local and international shipments. This position requires strong communication skills, the ability to multitask under pressure, and a keen understanding of the workflow within premium furniture projects.

Key Responsibilities

Administrative Support

Manage day-to-day office administration, documentation, filing, and correspondence.

Prepare quotations, purchase orders, delivery notes, and invoices as required.

Coordinate with suppliers, clients, and internal teams for smooth project execution.

Maintain accurate records of project documents, product specifications, and meeting notes.

Assist management with scheduling, follow-ups, and project-related administrative tasks.

Assist the Country Manager with any delegated tasks or responsibilities as needed. ← Your new line, perfectly integrated.

Logistics Coordination

-Handle end-to-end logistics for high-end furniture items, including international shipping, customs clearance, and last-mile delivery.

-Coordinate with freight forwarders, couriers, suppliers, and warehouse teams for timely shipment movements.

-Track shipments (air, sea, and land), monitor delivery schedules, and manage delays proactively.

-Prepare and verify shipping documents such as CIPL, packing lists, HS codes, COO, and certificates required for customs.

-Ensure products are packed, handled, and transported according to luxury furniture standards.

-Oversee installation scheduling with project teams and ensure all items arrive on site as per specification.

-Procurement & Supplier Coordination

-Request quotations, lead times, fabric samples, and technical information from suppliers.

-Follow up on production status, order confirmations, and quality checks before dispatch.

-Maintain strong relationships with high-end furniture brands and manufacturers.

-Inventory & Warehouse Support

-Coordinate with warehouse teams for receiving, inspection, tagging, and storage of furniture.

-Assist in inventory control, stock updates, and reporting.

-Customer & Project Support

-Communicate delivery timelines and installation schedules with clients and project managers.

-Resolve delivery issues, damage reports, or missing items with appropriate stakeholders.

-Ensure excellent customer service aligned with luxury brand standards.

Skills & Qualifications

Proven experience in admin and logistics roles within high-end furniture, interior design, or luxury goods.

Strong knowledge of international shipping and customs procedures in the UAE/GCC.

Proficient in MS Office, logistics portals (Aramex, DHL, FedEx), and ERP/CRM systems.

Excellent communication and coordination skills.

Strong attention to detail and ability to handle pressure in fast-paced project environments.

Ability to multitask and manage several projects simultaneously.

Knowledge of interior design terminology, furniture finishes, fabrics, and specifications is an advantage.
