JOB ROLE:Administrative & Clerical Support
- Answering phone calls
and direct calls as deemed necessary. - Carrying out clerical duties
such as answering phone calls, entering data (Word, Excel, letters), responding to emails, preparing documents and including corporate correspondence. - Coordinating and managing appointments
and meetings in order to prevent duplicate bookings. - Maintaining general office files
, including job files, vendor files, and other files related to the company's operations. - Filing all the documents
(legal, invoices, receipts, reports, etc.). - Attending team meetings
and sharing best practice with colleagues: making invitations, topics, minutes of meetings, memos, etc.
Operations & Logistics
- Assisting in the company day-to-day operations.
- Coordinating activities
throughout the company to ensure efficiency and maintain compliance with company policy. - Assisting in purchasing office supplies
, equipment, and furniture. - Handling and following up concerning the documents of the company cars.
- Handling and following up concerning the insurance documents
, visas, hotel reservations, regulatory and legal documents. - Assisting the HR department
in the clearance and onboarding of employees (signatures, custodies, etc.).
Inventory & Records Management
- Keeping register book
for all handed receipt books with handing and return signatures for sales representatives and drivers. - Responsible for merchandizing
, stock base, stock replenishment, stock inventories, and investigations. - Following the company internal policies
, procedures, and memos.
