Job Purpose

To ensure accurate, compliant, and efficient control of all medical-device inventory across warehouses, branches, and consignment locations, maintaining product integrity (lot/serial/expiry/UDI), supporting uninterrupted sales and tender fulfillment, and minimizing losses, expiries, and stock discrepancies.

Scope & Key Outcomes

  • Maintain
    inventory accuracy ≥ 98–99%

across ERP and physical stock.
- Ensure
regulatory compliance

for medical-device traceability and storage.
- Control
expiry / slow-moving / obsolete stock

to reduce write-offs.
- Support sales growth by ensuring
product availability

and clean order fulfillment.
- Provide reliable inventory reports for
Finance, Sales, and Management

.

Key Responsibilities (Summary)

  1. Own daily inventory monitoring, transactions, and reconciliation in ERP.
  2. Ensure strict control of
    lot, serial number, UDI/GS1, and expiry tracking

.
3. Execute periodic cycle counts and annual stock takes; investigate variances.
4. Control inbound receiving, put-away, bin location accuracy, and labeling.
5. Monitor stock levels by SKU, BU, and branch; trigger replenishment actions.
6. Manage non-standard inventory:
consignment, demos/loaners, returns, and warranty stock

.
7. Optimize inventory health: slow-moving, expired/near-expiry, dead stock.
8. Ensure storage and handling compliance (temperature/humidity, FEFO, segregation).
9. Prepare inventory readiness for tenders (e.g., NUPCO/Etimad), audits, and SFDA inspections.
10. Coordinate with Finance on valuation, GR/IR clearing, and month-end closing.
11. Maintain SOPs, SLAs, and continuous improvement for inventory processes.
12. Train warehouse and sales teams on inventory rules and traceability discipline.

  • Near-expiry action effectiveness (utilization/rotation %)

  • Audit findings severity & count
  • Stock availability / stockout incidents caused by control failures

Work Environment & Conditions

  • Work is mostly warehouse-based with office reporting tasks.
  • Requires standing/walking, checking pallets, bins, and cold rooms.
  • Must follow safety requirements for lifting and handling.
  • For sensitive products, must comply with
    temperature and humidity

controls and documented logs.
- May require travel to branches or customer sites for consignment audits.

Tools & Systems

  • ERP/WMS: SAP, Oracle, Dynamics, Focus ERP, Odoo, NetSuite, etc.
  • Barcode/UDI scanning tools (GS1/UDI compliance).
  • Excel / Google Sheets advanced reporting.
  • BI tools (Power BI/Tableau) preferred.
  • Temperature loggers / cold chain monitoring tools (if applicable).

Qualifications & Experience

  • Bachelor's degree in supply chain management, logistics, business administration, or a related field is preferred.
  • 3–5 years inventory control in medical devices, pharma, or regulated products.
  • Strong exposure to lot/serial/expiry control is mandatory.
  • Experience with consignment and tender-driven stock is a plus.
