We are looking for a skilled and detail-oriented
Projects Coordinator
to join our Operations team and support multiple project sites. This role is essential for ensuring smooth daily operations, accurate financial handling, and effective manpower management.

Key Responsibilities

Financial & Administrative Coordination

  • Manage and reconcile
    petty cash
    for all project-related expenses.
  • Prepare, verify, and submit
    invoices
    accurately and on time.
  • Maintain a complete log of approved, submitted, and pending invoices.
  • Support Finance in providing required documents, receipts, and reports.

Manpower Planning & Movement

  • Coordinate
    daily manpower deployment
    across project sites.
  • Manage employee mobilization, demobilization, leave schedules, and replacements.
  • Maintain updated
    attendance sheets, schedules, and manpower lists
    .
  • Work closely with Operations, HR, and Recruitment to ensure staffing levels meet project requirements.

Operational Support

  • Assist Project Managers and Operations Team with daily site requirements.
  • Prepare reports, meeting minutes, and operational documentation as needed.
  • Support procurement requests by collecting requirements and following up with internal teams.
  • Coordinate logistics such as transportation, accommodation, uniforms, and onboarding for new staff.

Client & Internal Communication

  • Act as a central communication point between the client, site teams, HR, Finance, and Operations.
  • Handle client requests related to manpower, consumables, or documentation.
  • Ensure that internal processes run smoothly and that all departments receive the required information.

Compliance & Quality

  • Ensure all operational activities follow company policies and safety guidelines.
  • Support the Operations Team in achieving KPIs, SLA requirements, and project targets.
  • Maintain organized project files, contracts, and supporting documents.

Requirements

  • Minimum 5 years of experience
    in facility management, operations, or project coordination.
  • Strong knowledge of manpower planning and site operations.
  • Solid experience in
    petty cash handling, invoicing, and documentation
    .
  • Excellent communication and interpersonal skills.
  • Strong command of MS Office (Excel, Word, Outlook).
  • Ability to multitask and work under pressure in a fast-paced environment.
  • Highly organized with strong attention to detail.
