Record, initiate, & enter the cargo or shipment details to the logistics system & ensure existing information for further processing.


  • Upon shipment confirmation, coordinate with Shipper / Agent and get the shipment details, readiness status, equipment confirmation, loading location confirmation & documents request. At same time updating the information to agent /client for their confirmation and proceed with booking with carrier.
  • Coordinate with shipping lines/ Airlines for space confirmation & booking release based on required vessel /flight schedule & follow up on Free time and vessel cutoff details.
  • Confirm the loading schedule with the shipper / agent & update the loading date to agent / client

  • Meet all clients' requirements and exceed expectations, upholding our strong reputation; update clients on daily bases on shipment status including weight, destination, quantity, type, charge & prepare shipping documentations (B/L and AWB), etc
  • Coordinate with transportation team for shipment pick up, coordinate with Airline / liner for documents & shipment submission, BL/ HAWB draft, forward the file to customs team to process customs declaration, follow up with clients for any customs submission docs (if required)
  • Follow up with clearance department and Clients for reception of complete set of shipping documents for customs clearance purposes and ensure its compliance with Dubai Customs regulations and exemption lists requirements.
  • Organize and coordinate the customs clearance job with the clearance team for both air / sea while providing pre clearance to ensure smooth delivery of shipments within the timeline set.
  • Handle quality control and legalization with different ministries and processes special permit at different governmental offices. such as Media, MOH, Dubai Municipality & Environment & Ministry of Health & Safety, and all import custom exemption documents, formats, and formalities.
  • Follow up with the transporter(s) to ensure on time & complete delivery of cleared shipments keeping records of all storage, demurrages, detentions, etc. and follow up with the concerned buyers for settlements and implements preventive actions to avoid customs penalties.
  • Verify the delivery of imported shipments, once cleared by sea/air to our designated areas and/or warehouses.
  • Coordinate with the Warehouse to ensure that copy of shipping documents has been forwarded to the warehouse for proper receiving.
  • Follow up with the Freight Forwarders, couriers and shipping lines for freight quotations and price lists for inbound and outbound shipments
  • Timely billing as per KPI set; Maintain accurate data entry for all shipments by opening a job in ERP & updating cost and sell rate in system for accounts to process the invoice.
  • Communicate with other departments including Pricing, sales, accounting, and marketing, etc... to effectively plan and distribute the workload.
  • Perform filing and documentation issues as prescribed for them and provide with vital assistance in keep records and following up status for underprocessing shipments.
  • Collaborate and assess in serving other logistics operations as desired and requested by higher level management.
  • Follow procedures of reporting on performance, claims & other reports required from time to time to the Direct Manager.
  • Perform other duties related to the job as assigned by the Operation Supervisor / Manager.
  • Ensure compliance with Company'scorporate protocol.

Requirements:

Bachelor's degree / Higher Diploma

  • With at least 3 years of freight forwarding experience especially in sea freight.
  • Excellent communication skills, both written and verbally for English and other languages will be an added advantage.
  • Ability to make decisions without direct supervision, and must be accurate, efficient and capable of handling detailed work assignments.
  • Maintain respect at all times for confidential information.
  • Proven ability to work independently and selfmotivated; also work cooperatively with other personnel.
  • Excellent computer skills in Microsoft Office (Words & Excel) and freight forwarding software.
  • Fast learner with positive attitude.
  • Able to work under pressure.
