We have recently opened our office in Riyadh and are excited to offer a rare opportunity for an Admin Assistant to join our team and support daily operations.

Job Description

The Admin Assistant will be a vital part of our Riyadh team, supporting the sales department with daily tasks and ensuring smooth office operations. The ideal candidate will serve as a key contact for Saudi government entities, manage administrative and compliance duties, and facilitate efficient day-to-day functioning in a dynamic environment.

Key Responsibilities:

Government & HR Support:

  • Coordinate with government bodies such as MHRSD, GOSI, MISA, MOI, and Riyadh Chamber of Commerce.
  • Handle activities related to work permits, Iqamas, visas (including exit/re-entry), and expatriate onboarding.
  • Ensure compliance with Saudi labor laws, Saudization quotas (Nitaqat), and related regulations.
  • Manage official document attestation through the Riyadh Chamber of Commerce.
  • Assist with employee residency, labor disputes, and registration issues.
  • Maintain accurate HR and government records for audits and reporting purposes.
  • Draft official correspondence in both Arabic and English.

Sales Support & Administrative Tasks:

  • Assist the sales team with preparing quotations, proposals, and updating client records.
  • Coordinate internal meetings, calls, and presentations related to sales activities.
  • Organize logistics for client visits, trade shows, and sales events.
  • Track sales documentation and follow up on action items.
  • Support the creation of reports and dashboards for sales analysis.

General Administrative Support:

  • Provide daily support to various departments.
  • Manage office supplies, coordinate with vendors, and organize internal events.
  • Arrange meeting rooms, set up conference calls, and prepare meeting materials.
Qualifications
  • Note: Only Saudi nationals are eligible due to Saudization policies.
  • Bachelor's Degree in Business Administration or related field.
  • Fluent in Arabic and English, both spoken and written.
  • Strong organizational, time management, and multitasking skills.
  • Proactive attitude with a sense of ownership.
  • Excellent communication and interpersonal skills with a professional demeanor.
  • Ability to work independently and as part of a team.
  • Experience with government portals (Qiwa, Absher, Muqeem, Mudad) is advantageous.
  • Previous experience in administrative support, HR coordination, or sales operations is preferred.

  • 22 days of annual leave, increasing with tenure.
