Job Description (Roles and Responsibilities)
The British Embassy Riyadh has a vacancy for a Logistics Manager on a fixed-term contract of two (2) years.
The jobholder will be responsible for the efficient management of all Logistics for the Embassy and oversight of logístical work in Jeddah. This will include developing vehicle safety, driver safety and skills, transport scheduling, fleet management, and vehicle procurement processes. The jobholder will work closely with a wide range of staff across the Embassy, manage a large team of Drivers, and build contacts with local suppliers. The jobholder will have excellent communication skills and the ability to give clear, concise advice on a range of logístical topics, taking account of procedures and policies.
While the role is based in Riyadh, there will be occasional travel to the British Consulate in Jeddah. The jobholder will manage 18 Drivers in Riyadh and Jeddah and two (2) Mechanics in Riyadh.
**Duties and responsibilities**:
- Logistical management
- Draft and propose daily/ weekly transport planning, schedules, and delivery plans to meet the logístical requirements of the Embassy, highlighting pressures and identifying solutions. Effectively challenge requests from Embassy staff if they are not in line with Foreign, Commonwealth and Development Office (FCDO) Transport policies and procedures. Prioritise own work and work of the team to meet business objectives.
- Implementation of an effective shift roster for Drivers, identifying opportunities for reducing overtime costs whilst maintaining agreed SLA.
- Have regular meetings with the Regional Overseas Security Manager (ROSM) and other senior staff to ensure the efficient planning and management of forward logistics programmes for VIP visits.
- Maintain and manage accurate records of transport activity, including contacts database and transport use/ statistics. Use data to aid efficient planning of logistics.
- Identify process efficiencies and provide recommendations for improvement projects. Proactively implement those improvements that gain wide agreement.
- Asset management
- Management of transport fleet, identifying the destruction/ sale of old vehicles, leading on purchasing new vehicles, and updating the fixed asset register. Implement policies and best practise on vehicle procurement, ensuring the KSA Network achieves value for money.
- Identify planned maintenance requirements, working with the Mechanics to schedule maintenance and servicing of the fleet, ensuring a very high standard.
- Working with the Greening Committee and Climate Change Officers, develop and plan a gradual transition of the fleet to E-Vehicles, where practical and appropriate to do so.
- Compliance
- Manage and deliver all aspects of Transport Health and Safety (H&S), including H&S induction, training, and operating procedures. Ensure all Drivers meet strict driving standards and maintain their knowledge.
- Research and review Saudi Network transport policy to ensure it is compliant with FCDO procedures and legislation. Pro-actively inform staff and team of legislative changes and guidance.
- Monitor and ensure daily safety checks on vehicles by the Drivers are done. Monitor and ensure regular servicing of vehicles is done in time and to the required standard.
- Communication
- Actively build and deepen relationships with key stakeholders internally and externally, to seek and exchange information, clarify processes/ policies, and identify legislative changes and guidance.
- Liaison with key Saudi Ministry contacts, Transport, and Police department.
- Build relations with key suppliers, seeking purchases and contracts that deliver value for money to the Network.
- Proactively message all on the Saudi platform on logistics and transport, working on compliance with what is expected from them and what they can expect for you and your team to achieve the established SLA.
- People management
- Lead and manage the Transport team independently, with limited supervision to ensure and maintain a high quality of service to guests and VIP visitors.
- Conduct regular meetings with staff to ensure duties are being carried out efficiently and effectively, and to identify learning and development needs.
- Be open to learning; keeping one's own knowledge and skill set as well as that of team members’ current and evolving, taking advantage of the Embassy’s strong Learning & Development (L&D) offer.
- Development of training programmes, responding to individual development needs to support continuous professional development and accurate understanding of role requirements and high standards of service.
- Collaborate with the team to ensure they remain compliant with current and anticipated legislative requirements.
- Champion and embed a collaborative and inclusive culture.
- Finance management
- Management of transport budget (maximum £75,000) for Riyadh and Jeddah.
- Manage capital expenditure within delegated authority. R
