**JOB LOCATION: Saudi Arabia**

**Job Objective**: Responsible for managing and controlling the process of all the organization operational, government, administration activities that are related to the organization. Supervise and assure that responsibilities are executed in a timely manner.

**Day to Day Operations**

**Government Relations Services**:

- Applies immigration legislation, rules, and policy.
- Carry out day to day personnel administration tasks, especially those involving straightforward work permit and residency visa.
- Processes, verifies, and maintains documentation related to personnel activities such as employment visa, security clearance.
- Answers routine queries from employees on immigration/ visa policy and procedures, referring deviation issues to the seniors.
- Greeting and directing visitors, answering phone inquiries and handling complaints in a courteous, professional manner
- Reviews incoming forms for completion and accuracy, taking corrective action when required.
- Maintains required data, computerized information or files relating to personnel matters and support seniors with necessary information whenever required.
- Deals with sensitive situations and confidential matters discreetly. Ensures that employee data privacy is protected.
- Keeps up to date with changes in legislation and current affairs.
- Defines ad-hoc reporting requirements and generate reports using standard tools and techniques

**Admin Services**
- Support senior managers and executives with daily clerical tasks
- Plan meetings and take detailed minutes
- Answer phone calls, provide information to callers or connect callers to appropriate people
- Schedule appointments and update calendar
- Make travel arrangements and reservations for senior managers
- Compose and type regular correspondence, like invitations and informative material
- Develop and maintain a filing system
- Create spreadsheets and presentations
- Provide statistical and budget reports
- Greet and provide general support to visitors
- Develop, implement, and improve office policies and procedures

**Budgets and Plans**
- Recommend the budget and monitor financial performance versus the budget so that the business is aware of forecasted costs and revenues; areas of underperformance are identified and opportunities to improve performance are capitalized upon.

**Leadership**
- Manage department's staff and teams by planning their utilization, communication, overseeing their performance, recruitment, training, and development to ensure high levels of engagement and competence.

**Continuous Improvement**
- Motivate one's own team and identify opportunities to take part in change initiatives, programs and projects that reflect international best practice and changes in the competitive environment.

**Policies, Processes & Procedures**
- Recommend improvements to departmental policy and directs the implementation of procedures and controls so that all relevant procedural/legislative requirements are fulfilled while delivering a quality, cost-effective service to customers.

**MIS & Reports**
- Prepare MIS statements and reports pertaining to department to meet INJAZAT's and the departmental requirements, policies, and standards.

Perform other related duties or assignments as directed.

**Minimum Qualifications**:

- Diploma degree in HR Administration, Business or equivalent

**Minimum Experience**:

- 5-7 years of experience as a Public Relations Officer, dealing and be acquainted with the government bodies.
- At least 3-5 years of Saudi experience

**Job-Specific Skills**:

- Ability to speak, read and write both in English and Arabic
- Perform assigned duties in an efficient and accurate manner.
- Develop effective and collaborative working relationships with colleagues, superiors and those contacted in the course of work.
