Job Title: Document Controller

Job Summary:

We are seeking an experienced Document Controller to join our team in the Middle East for a 6-month assignment. As a Document Controller, you will play a crucial role in ensuring the smooth operation of our document management systems.

Key Responsibilities:
  • Document Filing and Management: Coordinate with project teams to ensure all documents are correctly filed in the appropriate department file archives.
  • Document Verification and Submission: Verify and submit project documents ahead of submission deadlines to ensure compliance with schedules.
  • Document Storage and Retrieval: Copy, scan, and securely store both physical and digital documents in an organized manner.
  • Document Review and Editing: Review files, including contracts, for accuracy and make necessary edits as required.
  • Document Distribution: Distribute project-related document copies to internal teams as per project requirements.
  • Document Filing and Maintenance: Manage the meticulous filing of documents in both physical and digital record-keeping systems.
  • Document Template Development: Develop templates for various document types to enhance efficiency and consistency.
  • Document Retrieval: Retrieve requested files promptly for employees and clients to support operational needs.
  • Document Flow and Accessibility: Maintain the flow of documentation across the organization, promoting accessibility and transparency.
  • Document Quality Control: Conduct quality checks on document details, such as file names and submission accuracy, prior to distribution.

Requirements:
  • Education: Bachelor's degree.
  • Experience: Proven experience in document control, preferably in the engineering sector.
  • Skills: Strong attention to detail and accuracy in document management. Proficient in using document management software and tools. Excellent organizational and multitasking skills. Effective communication and teamwork abilities. Problem-solving mindset with the ability to identify and address issues proactively. Familiarity with relevant industry standards and regulations. Strong computer skills, including MS Office Suite and file management tools.
  • Desirable: Prior experience in managing a small team or leading document control initiatives.
