Job Description

The role of Conference Producer is a dynamic and challenging opportunity to join our team as we scale up our events in Saudi Arabia.

We are seeking an experienced professional who can demonstrate their expertise in conference production, with a strong track record of delivering high-quality events. The successful candidate will be confident in communicating with expert speakers from around the world, selling the unique opportunity to showcase their knowledge and expertise at our event.

Key Responsibilities:

  • Developing high-level industry-relevant conference programmes.
  • Liaising with key professionals and institutions to produce engaging conference content.
  • Engaging with recommended speakers and confirming their attendance.
  • Maintaining an updated speaker database for accurate and current information.
  • Preparing and communicating creative brief documents to the marketing team.
  • Leading telesales briefs and setting follow-up meetings to track progress.
  • Ensuring all CME/CPD application forms and supporting documentation are completed within deadlines.
  • Providing leads to the sponsorship team and attending sales meetings as required.
  • Mentoring other conference producers within the team.
  • Conducting post-show analysis, including job title analysis.

Market Research and Industry Networks

  • Effectively researching topics with relevant industry professionals and the target market.
  • Developing new conference ideas and programme content through meetings and tele-research with key experts.
  • Collaborating with the Director and sales team members to generate ideas for enhancing the conference portfolio.
  • Identifying key opinion leaders and institutions related to the event.
  • Maintaining existing relationships and building new ones to develop conference content.
  • Providing lists of hospitals that are leaders in specialist areas relating to the event.
  • Exploring additional add-ons and ways to attract more delegates, such as workshops and partnering with associations.
  • Liaising and networking with speakers, exhibitors, and delegates on-site to maintain customer service standards and resolve queries.

Qualifications and Skills

  • Educated to degree level or equivalent.
  • Minimum 3 years' experience in conference production.
  • Strong communication and interpersonal skills, with the ability to speak and write clearly in English.
  • Proficient in Microsoft Word and Excel.
  • Research-based role requiring attention to detail and organisational skills.
  • Brand awareness and understanding of the market.
  • Scientific background or related industry/event knowledge.
