Role SummaryThe successful candidate will support sales representatives by assisting with quotations and tenders, and will be responsible for creating tenders in the system and coordinating delivery processes with stakeholders.
Key Accountabilities- Maintain adherence to all Zahrawi policies and procedures.
- Ensure team members meet assigned performance goals.
- Collect periodic reports from the team.
- Delegate short-term targets for team members.
- Establish task priorities and allocate resources and workloads.
- Train team members on tenders procedures for KSA.
- Solve task-related problems for team members.
- Motivate team members to follow policies and procedures.
- Support fellow team members/departments as needed to meet company/department goals.
- Prepare sales order confirmations according to the checklist.
- Identify and address problems to the manager.
- Presentation of information and responses to questions from colleagues.
- Create sales agreements and orders.
- Inventory and delivery monitoring.
- New business lead development, including tenders and inquiries advertised online and in newspapers.
- Preparation of Letters of Warranty, Undertaking, Offer Validity Extension, etc.
- Verification of all FOC sales orders have Sales Supervisor/Division Managers approvals.
- Arrangement of Bid-bond, Performance-bond, and Bank Guarantees according to customer requirements.
- Maintenance of a database of quotation/tenders/other documentation files in the company shared drive for easy reference.
- Submission of quotations and tenders before closing dates with required documents attached.
- Coordination and approval of online quotations with the sales team.
- Frequent follow-up with customers to know the progress/status of quotations and tenders.
- Setup of deliveries for LTL POs according to signed contracts.
- Responsibility for governmental reports on tendering and performance.
- NUPCO Delivery reports preparation.
- Expedite reports preparation (for all shipments).
- Performance reports preparation.
- Experience: 5+ years of experience related to Government Tender & NUPCO.
- Skills: Excellent MS Office skills (Excel formulas, pivot tables), problem-solving, time management, process management, analysis, negotiation, decision-making, and relationship-building.
- Additional Details: Candidate should be based in KSA.
